Mediation Program Manager

Position Type: Full-time (40 hours/week), Exempt

Reports To: President, Board of Directors

Location: Appleton, WI

Salary: $65,000 annually, depending on experience

About OCCRC

The Outagamie County Conflict Resolution Center (OCCRC) is a new nonprofit providing accessible, equitable, and effective mediation services for housing, civil, and community disputes. We aim to reduce conflict and the burden on the courts while improving community well-being through volunteer-led mediation.

Position Summary

OCCRC seeks a highly organized, people-centered Mediation Program Manager to launch and oversee operations, with the potential to grow into an Executive Director role. This position is ideal for someone who is process-oriented, thrives on communication, relationship-building, volunteer coordination, and public engagement.

Primary ResponsibilitiesProgram & Administrative (50%)

  • Manage daily mediation operations, including intake, scheduling, case tracking, and communications
  • Respond to public and partner inquiries within 24 hours (excluding weekends)
  • Maintain program documentation, forms, and internal systems
  • Track program data and assist with reports for the board and funders
  • Use Microsoft Office, databases, project management tools, and Zoom to manage workflows and meetings
  • Support basic organizational finance functions, including paying bills, budget tracking, expense monitoring, and coordination with board leadership and contracted bookkeeper. 

Volunteer Recruitment & Coordination (30%)


  • Recruit, onboard, schedule, and support volunteer mediators
  • Coordinate training and ensure mediator standards are met
  • Maintain regular communication and foster a positive, inclusive volunteer culture

Outreach and Community Engagement (20%)

  • Build relationships with courts, attorneys, nonprofits, and community partners
  • Represent OCCRC at community events and speak to groups of 10 to 50 participants
  • Support social media, website content, newsletters, and fundraising efforts

Required Skills and Qualifications

  • Three or more years of experience in nonprofit work, volunteer coordination, program management, or court-related roles
  • Strong written and verbal communication skills, including public speaking
  • Excellent interpersonal and organizational skills
  • Demonstrated commitment to equity, restorative practices, and inclusive service delivery
  • Proficiency in Microsoft Office and comfort using Zoom and other digital tools
  • Basic understanding of nonprofit finances, including budgets and expense tracking
  • Ability to manage multiple priorities independently
  • Willingness to complete mediation and courtroom training within 90 days

Qualifications

  • Experience with mediation, restorative justice, or conflict resolution
  • Familiarity with social media, digital communications, or website tools
  • Grant writing or fundraising experience
  • Cultural humility and trauma-informed approach to conflict and service delivery
  • Discretion in handling sensitive information and maintaining confidentiality
  • Startup mindset with comfort in ambiguity and rapid adaptation
  • Data-informed decision-making using feedback and outcome tracking
  • Skilled at navigating power dynamics across legal, government, and community partners
  • Proficiency with scheduling, case tracking, and project management tools (e.g., Monday.com, Office 365)
