Position Summary:
The Manager, Document Controls will oversee all document management activities, ensuring accuracy, compliance, and accessibility throughout the project lifecycle, and interfacing with operations. This role will be responsible for managing and maintaining document control standards including carrying tasks related to inputting documents, preparing reports/metrics on CWLNG document review cycle times. The position reports to the VP, Project Controls and is an in-office position.
Key Accountabilities:
- Oversee company's document management system, ensuring documents are properly created, stored, accessed, and maintained throughout the project
- Responsible for developing and implementing document control procedures, maintaining document repositories, and ensuring compliance with industry standards and regulations
- Manage the distribution of documents to relevant stakeholders, ensuring timely access to the correct information. Collaborate with various contractors, vendors and internal departments to ensure efficient and accurate document management
- Manage the company document control systems for EPC/ Operations, including user access, metadata structure, and folder setup
- Develop and maintain reporting metrics to track document loading and compliance
- Conduct training sessions on document control practices for internal and external teams
- Support third-party audits related to document control and compliance
- Conduct periodic audits of document control processes to maintain accuracy and compliance

Education, Certificates, and Licenses:
Bachelor’s degree or equivalent
Experience:
- 10+ years of experience in Document Management Systems in Oil & Gas industry
- Experience with large-scale oil & gas EPC projects strongly
- SharePoint document management experience required
- Familiar with regulatory compliance and audit support
- Strong understanding of document management standards, compliance, and regulatory requirements
Knowledge, Skills, and Abilities:
- Strong organizational experience and attention to detail
- Ability to manage Mega projects, interface with various stakeholders and meet deadlines
- Excellent written and verbal communication, ability to lead and motivate a team, and training skills
- Takes initiative, proactive and problem-solving attitude, flexible, team player
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint)
- Aconex experience
- High productivity will be required to ensure no delays to the project
