About the Role



Reporting to the Office Manager, you will provide a confidential, timely, accurate and efficient administrative support service to the factory to aid the smooth day to day running of the business.



Main responsibilities:



SAP/Purchase Orders



* Create Purchase Orders for Site via the on-site system (APO) utilising SAP and Jaggaer for ordering



* Goods Receipting/Invoice Queries/Clearing Open Purchase Orders on a daily basis and for month end



* Preparing Open PO Reports for Admin people on site before month end



* Liaising with Accounts/Site Specific People to clear invoice queries



* Preparing reports as requested by the Maintenance Manager



* Booking & Scheduling Mobile Plant training orders as per site requirements/expiry dates



* Recording mobile plant (FLT) faults and reporting on a weekly basis



* Assist management with CAPEX orders



* Assist with the Environmental Waste Disposal Services on site



General Administration



* Provide administration support to Office Manager and other Managers



* Cover Reception for lunches / training / other site-specific work carried out by Site Administrator



* Deal with deliveries to Reception and arrange for offloading/directing to Goods Inwards/Dispatch



* Assisting Contractors/Visitors to Reception in a polite & courteous manner



* Ensuring all Visitors to site have an up-to-date site induction and relevant PPE if required



* Answering incoming telephone calls and taking messages



* Opening/Distribution of mail



* Preparing rooms for meetings and assisting with refreshments/buffets



* Preparing Monthly Reports for Office Manager and other Managers



* Assisting Office Manager with distribution/ordering of radio equipment, locker maintenance, key allocations and with projects as required



* Recording mobile plant expiry dates for renewal purposes and inputting Certificates onto PIP Matrix for all mobile plant drivers on site



* Undertaking any other general administration duties, including laminating, photocopying, updating notice boards, etc



Hours of Work: 8.00am to 5.00pm, Monday to Friday



About You



* Previous customer service experience.



* Previous administration work experience/purchase ordering experience.



* Previous experience of SAP would be advantageous.



* IT Skills – good knowledge of MS Word, Excel & Outlook



* Strong communication skills



* Excellent attention to detail



* Good problem-solving skills



* Willingness to learn and develop



* Self-motivated
