Core Responsibilities
- Oversee daily operations to ensure efficiency and top-tier service delivery.
- Lead and mentor a diverse team, including virtual assistants, intake personnel, medical coordinators, calendar staff, junior and senior paralegals, and four attorneys.
- Develop and standardize office procedures into a comprehensive Standard Operating Procedures (SOP) handbook.
- Implement and refine operational workflows, policies, and best practices.
- Manage case management systems, ensuring compliance with deadlines, court standards, and firm protocols.
- Support case progression from initial intake to case closure, including no-fault, OCA, insurance medical examinations, medical appointments, records and analysis, litigation (complaint. BPs, depositions conferences, motions and trial), lien management, settlements, and arbitration.
- Roll up your sleeves and assist with preparing legal documents, arbitration packages, and case files.
- Collaborate with firm leadership to identify, streamline, and automate processes, maximizing productivity.
- Manage scheduling, resource allocation, vendor relationships, procurement, and office facilities.
- Facilitate effective communication within departments and with clients.
- Promote and maintain a positive workplace culture.
Qualifications
- 10+ years of experience in legal operations, preferably within plaintiff personal injury law.
- Demonstrable leadership experience managing teams of various sizes and roles.
- Proven success in operational improvements and organizational growth.
- Excellent organizational, problem-solving, and multi-tasking skills.
- Willingness to assist with legal document preparation when needed.
- Familiarity with SmartAdvocate or comparable CRM legal software and NYSCEF is a must.
- Proficiency with modern MS programs and legal AI tools is helpful.

- Salary: $120,000–$175,000 plus earned bonuses related to performance.

Performance & Bonuses
- The successful candidate will have clearly defined KPIs related to operational efficiency, team management, client satisfaction, and compliance.
- Meeting or exceeding these KPIs will qualify for performance bonuses and additional earning potential.
Work Environment & Expectations

- On-site work in Freeport and ultimately Baldwin, NY,
- Expected travel quarterly for 1–3 days to training or seminars, at the company’s expense.
- All meetings and negotiations are confidential; candidates must maintain strict confidentiality with family and advisors.
- Our firm is planning a vigorous marketing push across all media platforms in 2026.
