Job Summary
The Inventory Coordinator is responsible for managing and maintaining accurate inventory records within multiple areas of the organization. This role plays a critical part in optimizing inventory levels, minimizing stock discrepancies, and ensuring timely recording updates of product
This position conducts reviews of audit reports and investigates discrepancies pertaining to assets belonging to the company such as procedural, cash and inventory. This role also makes recommendations to improve process efficiency. In this role, you are responsible for confidentially obtaining and providing evidence of misappropriation or misuse of resources that result in financial loss is required.
What You Will Do
- Monitor and maintain accurate inventory records using inventory management systems.
- Oversees regular cycle counts and full physical inventory audits either in person or remotely.
- Proactively investigate potential theft, shrinkage and opportunities for company loss or other illegal activities.
- Investigate and resolve inventory discrepancies in a timely manner utilizing investigatory processes.
- Coordinating with the Merchandising Manager and other HQ leadership, ensure inventory accuracy and availability.
- Generate inventory reports and provide data analysis to support decision-making.
- Assist in developing and implementing inventory control procedures and best practices.
- Ensure compliance with company policies and safety regulations.
- Support inventory-related projects and continuous improvement initiatives.
- Reconciles assets to the original books of record and analyze cash handling and counting.
- Utilizing surveillance monitoring, observe and report concerns of non-compliance of policies and procedures by staff.
- Continuously monitor the updates of product selection and assists with the development and production of forms for reporting loss prevention activities as needed.
- Comply with all Company’s Rules of Conduct, policies and procedures as well as all Federal, State, Local and Company safety, health and environmental regulations.
- Participates in Company mandated training sessions.
- Other duties and special projects as assigned.
Education and Experience
- A high school diploma or equivalent is required with an associate or bachelor’s degree in related field .
- A minimum of 2 years experience in inventory control, retail operations, or supply chain management.
- Proficiency in inventory management software (e.g., PDI or DM2).
- Strong analytical and problem-solving skills with excellent attention to detail and organizational abilities.
- Effective communication and interpersonal skills and the ability to work independently and collaboratively in a fast-paced environment.
- The ability to collect and analyze data to detect deficient controls, duplicated effort, fraud, or noncompliance with laws, regulations, and Hawaii Petroleum policies and procedures.
- The ability to travel off island for work purposes including the operating of a rental vehicle when required.
- Professional level computer skills in systems such as PDI, Radiant, Microsoft Word, Excel, Outlook and SharePoint.
- A valid TB clearance certificate or be able to provide one.
- Possession of a valid Type 3, Driver’s License
