Key Responsibilities
- Customer Service & Communication:
Act as a primary point of contact for customer inquiries, complaints, and service requests. - Scheduling & Dispatching:
Coordinate and schedule technician appointments, optimize routes, and dispatch technicians to service calls. - Administrative Support:
Manage various administrative tasks, including data entry, maintaining customer and service records, and preparing reports. - Billing & Financial Management:
Process invoices, manage accounts receivable/payable, and assist with financial reporting and budgeting. - Inventory & Procurement:
Order and track parts, supplies, and office equipment to ensure technicians have the necessary resources. - Staff Management:
Onboard, train, and supervise office staff, set performance expectations, and manage staff schedules. - Operational Oversight:
Ensure efficient workflow, maintain office policies, and coordinate with other departments or staff. - Compliance & Regulations:
Ensure adherence to industry regulations, company policies, and internal controls.
Essential Skills & Qualifications
- Organizational Skills: Ability to juggle multiple priorities and manage a dynamic workload.
- Communication Skills: Excellent written and verbal communication for client, staff, and vendor interactions.
- Technical Familiarity: Some knowledge of HVAC systems Service Titan Knowledge a plus, and related software is beneficial for efficiency.
- Problem-Solving: Ability to resolve customer issues and streamline office operations.
- Leadership & Teamwork: Skills to supervise staff, coordinate teams, and foster a positive work environment.
- Financial Acumen: Understanding of accounting principles, billing, and inventory management is helpful.
