San Francisco Refrigeration/ HVAC business striving to provide a rewarding work environment and experience for our employees while servicing locally owned Restaurants and Businesses. Currently looking for an experienced Dispatcher/ Office Assistant to help manage the day-to-day operations. 

The Dispatcher/ Office Assistant will assist with the day-to-day functioning of the company’s front office administration, assisting co-workers in administrative tasks to increase company productivity. The role requires an experienced, self-directed, resourceful, high-energy professional who is confident taking initiative and finding opportunities to enhance their role beyond the daily call of duty. The ideal candidate will rise to challenges, be a creative problem solver and apply high standards to their work and office environment.

DETAILED JOB FUNCTIONS:

  • Processing all incoming client service, maintenance and warranty calls in pleasant and courteous manor
  • Assigning service tickets to Technicians based on schedule and geographical locations
  • Schedule and coordinate service and access to job site locations as needed
  • Ensure all information and documentation is properly captured by technicians before processing service tickets into billings
  • Process the ordering/shipment of materials and equipment as needed
  • Manage the dispatch board / schedule for service work and follow ups
  • Assist with collection calls on past due billings and other accounting functions as needed
  • Manage timesheets for the department and coordinate process with Payroll administrator
  • Adhere to the policies and procedures of the company
  • Process and document all work in a timely manner
  • Perform additional work as directed by HVAC President and Service Manager

REQUIRED QUALIFICATIONS:

  • High school diploma or general education degree (GED)
  • Proficient knowledge in computer skills: MS Office - Word, Excel, Outlook
  • Ability to multi-task and stay organized
  • Prior supervisory experience
  • Knowledge of San Francisco map and neighborhoods
  • Excellent communication skills & use of English

QUALIFICATIONS:

·         FieldEdge Software or other Field Management Software

  • Experience working in a Refrigeration/ HVAC or other high paced dispatch front office 

WORKING CONDITIONS:

  • Full-time schedule, Monday through Friday 8.30am to 5pm
  • Our office is based in San Francisco, within walking distance of BART
