HR Operations Analyst
Location: Chicago, IL (On-Site) - Parking garage available for ; accessible by public transportation (commuter benefits offered)
Employment Type: Full-Time, 9am-5pm
Compensation: $70,000–$90,000

Our client is seeking a detail-oriented HR Operations Analyst to oversee payroll accuracy, benefits administration, and cross-functional reporting for a workforce of 500+ employees. This role is ideal for someone who is analytical, tech-savvy, and passionate about improving processes, strengthening operational controls, and ensuring data integrity across HR and Finance functions.
About the Role
This individual will serve as a core member of the HR Operations team, owning biweekly payroll processing, vendor file integrations, and backend benefits workflows. The ideal candidate is proactive, organized, and comfortable identifying discrepancies, resolving errors, and recommending system improvements.
Key Responsibilities
- Process accurate and timely biweekly multi-state payroll using an HRIS platform (UKG or equivalent).
- Maintain payroll records including earnings, deductions, garnishments, and tax configurations.
- Ensure compliance with federal, state, and local payroll regulations.
- Reconcile payroll reports, general ledger entries, and investigate discrepancies with HR + Finance.
- Manage payroll audits, quarterly filings, and year-end processing (W-2s).
- Audit and maintain integrations between payroll, benefits, and retirement systems.
- Maintain accurate data feeds to benefits carriers (medical, dental, vision, life, 401k).
- Perform monthly benefits invoice reconciliations and correct billing errors.
- Ensure benefit deductions are accurate and resolve system discrepancies.
- Support open enrollment, including configuration, testing, and feed updates.
- Use advanced Excel (VLOOKUPs, pivot tables, nested formulas) to analyze payroll + benefits data.
- Build, generate, and interpret reports to support HR and Finance decision-making.
- Develop dashboards and BI-style reporting (experience with any reporting platform welcome).
- Identify workflow gaps, inefficiencies, and operational risks; recommend improvements.
- Think creatively to solve technology and system issues; support ongoing HRIS enhancements.
Qualifications
- 3–5+ years of payroll experience supporting multi-state operations.
- Experience with UKG ; other HRIS/payroll systems also acceptable.
- Strong understanding of payroll compliance and reporting requirements.
- Advanced Excel proficiency required.
- Experience with benefits administration, vendor feeds, and invoice reconciliation.
- Strong analytic, problem-solving, and organizational skills; high ownership mentality.
- Tech-savvy and comfortable improving systems and workflows.
- Accounting/payroll accounting background is a plus.
- CPP certification but not required.
