About the Role:

We are looking for a highly organized and customer-focused Front Office Logistics Coordinator to join our team at a growing water well service and water treatment company. This role is central to keeping our field operations running smoothly—acting as the communication hub between customers, technicians, and management.

You’ll be responsible for scheduling jobs, coordinating technician dispatch, managing customer communication, and handling basic office tasks. If you’re a detail-oriented professional who thrives in a fast-paced environment and enjoys helping others, we’d love to hear from you.

Key Responsibilities:

•             Serve as the first point of contact for customers via phone, email, and in-person visits.

•             Schedule service calls, installations, and maintenance jobs using dispatch software or calendars.

•             Coordinate field technician routes, ensuring efficient daily operations.

•             Track job status, technician availability, and material requirements.

•             Manage incoming service requests and emergency call-outs.

•             Maintain organized records of customer files, job notes, and equipment logs.

•             Support inventory control by helping track and reorder commonly used parts.

•             Assist with invoicing, estimates, and basic accounts receivable processes.

•             Communicate clearly with customers regarding service timelines, system functionality, and follow-ups.

•             Provide general administrative support to the office and operations team.

Qualifications:

•             2+ years of experience in a logistics, scheduling, dispatch, or administrative coordination role (oil & gas, construction, field service,                  plumbing, or HVAC/water industries ).

•             Strong organizational and time management skills.

•             Excellent verbal and written communication abilities.

•             Proficient with Microsoft Office (Word, Excel, Outlook) and scheduling or CRM software.

•             Ability to multitask, prioritize, and remain calm under pressure.

•             Professional phone etiquette and customer service mindset.

•             High school diploma or equivalent required; Undergraduate degree .

Bonus Skills ( but not required):

•             Experience in plumbing, water systems, or trades-based business operations.

•             Familiarity with QuickBooks, Intuit Field Service, Google Calendar, etc

•             Bilingual (English/Spanish) is a plus.
