Food Contract Coordinator

Primary Purpose:

  • Provide business plan support in strategic planning and workflow systems for the Choice Partners (CP) cooperative. Responsible for procurement of quality foods and products and commodity processing for the food cooperative in accordance with established policies and procedures.
  • Qualifications:

    Education/Certification:

  • Bachelor’s degree from an accredited university in food and nutrition, dietetics, home economics, food service management or related field
  • Membership in a professional purchasing and/or nutrition association preferred
  • Special Knowledge/Skills:

  • Knowledge of federal, state and local requirements dealing with procurement of food service products, including, but not limited to, the Buy American Program, Debarment guidelines, and the Administrator’s Reference Manual (ARM).
  • Knowledge of food service products, services, and USDA commodities
  • Knowledge of federal nutrition guidelines
  • Knowledge of federal, state and local competitive bidding statutes and purchasing procedures
  • Ability to communicate effectively (verbal and written) using proper English grammar
  • Ability to positively interact with members and vendors in all situations
  • Ability to effectively utilize computers and software including Microsoft Office applications and other software required by the division
  • Ability to work with numbers in an accurate and rapid manner
  • Ability to organize, prioritize and meet established deadlines, and to handle multiple tasks
  • Ability to maintain accurate, confidential and auditable records
  • Experience:

  • Minimum of two years nutrition related experience preferably in child nutrition or a school food service environment
  • Experience with cooperative contracting preferred
  • Major Responsibilities and Duties:

  • Develop and process bid renewals, and other solicitation documents.
  • Serve as primary administrator of the food program information on the Choice Partners website, and in eBid by ensuring all information included on the websites are up to date.
  • Assist with the commodity processing functions within the food cooperative.
  • Organize, analyze and enter new and/or updated commodity data into ProcessorLink, BidForge, K-12, and into TXUNPS, the state of Texas system.
  • Gather and maintain Child Nutrition labels, Commodity Calculators, and SEPDS for all food products..
  • Maintain accurate product and pricing lists for all bids, proposals and contracts.
  • Communicate with all vendors to keep product information and pricing updated both internally and on the website.
  • Coordinate with the Contract Coordinator on monthly board agenda items by preparing board agenda items in an accurate and timely manner.
  • Attend Board Agenda Review meetings as necessary.
  • Assist with the planning, organizing and the implementation of the annual nutrition and product exposition.
  • Work with the Research and Evaluation Department on evaluation forms for events and compile and summarize results.
  • Assist in planning and organizing food sample events, vendor tours, and vendor/member meetings and workshops.
  • Prepare and analyze member usage data reports for internal use and for vendor forecasting.
  • Provide working information in a timely manner to members and vendors throughout the fiscal year.
  • Maintain good public relations with all parties for cooperative services.
  • Provide excellent customer service to all parties including members and vendors.
  • Maintain confidentiality.
  • Maintain a positive attitude and a neat and professional appearance that exemplifies confidence and professionalism.
  • Support Assistant Director and Food Contract Manager with administrative requirements.
  • Represent Choice Partners at national, state, and local exhibits, conferences and meetings, as assigned.
  • Perform other duties as assigned.
