Job Title: Fleet Manager

Position Summary: The Fleet Manager will oversee the entire High Ground Energy fleet to include all trucks, trailers and mobile support equipment assigned.

Key Responsibilities: Oversees High Ground Energys fleet to include ordering, returning, tracking in Quickbase and updating the truck board for all assigned trucks, vans, trailers and mobile support equipment assigned to HGE. Orders and manages fuel cards, GPS tracking, cameras and toll tags for the HGE fleet. POC for DOT compliance, insurance claims and works directly with Big B counterpart for claims. Work directly with all divisions to determine fleet needs and procure what is needed to directly support the field.

Fleet Management:

  • Order and return trucks through designated vendors.
  • Keep division managers up to date on delivery dates and possible delays.
  • Add trucks to equipment list, and send registration in for insurance, billing, and unit number assignments.
  • Add trucks to QuickBase with insurance and registration information.
  • Order toll tags for each truck.
  • Ensure each truck has insurance, registration, toll tag, and fuel card before sending it out in the field.
  • Order and apply door decals, DOT numbers, and unit number decals.
  • Send out daily events log report for the previous day and weekend.
  • Track truck assignments for new hires.
  • Keep the truck board up to date with off rented trucks and driver assignments.
  • Keep fleet maintenance site updated with trucks, drivers, and divisions.
  • POC for notifications on delivery dates for new trucks as well as pick up dates for off rented trucks.
  • Available to work weekends to accept truck deliveries or give keys to transporters for off rent pick-ups.
  • Ensure each division has appropriate truck accessories.
  • Fill out off rent forms and send to vendors to start the off-rent process.
  • Make sure trucks are cleaned out and accessories are removed prior to pick up.
  • Manage primary and spare keys for fleet.
  • Assist with installing toolboxes, seat covers, floor mats and tonneau covers.
  • Track and manage DOT compliance.



Fuel Card Management:



  • Order fuel cards for company and stipend vehicles.
  • Activate and assign unit number/ stipend number to each card.
  • Assign each card to a division based on driver/unit number assignment.
  • Add new hires into EFS/WEX with a Driver ID.
  • Check fraudulent transactions with division managers to ensure cards arent shut off.
  • Enter stipend card assignments into Quickbase and delete when employees are terminated.

Toll Tag Management:



  • Order toll tags for company and stipend vehicles.
  • Keep toll tags up to date with terminated employees and off rented trucks.
  • Send out toll tags for updated vehicle info (new plates, new vehicle) when needed.

Skills and Qualifications:

Management:

Ability to manage a fleet program of over 200 trucks, trailers and mobile support equipment.

Organizational Skills:

Strong ability to organize and prioritize tasks, manage multiple responsibilities, and maintain attention to detail.

Communication Skills:

Effective communication with staff, other departments, and external partners.

Problem-Solving Skills:

Ability to identify and resolve fleet issues to ensure the field has what they need.

Technical Skills:

Strong computer and communication skills, ability to drive ton trucks and back trailers.

Safety Awareness:

Knowledge of safety regulations and procedures related to trucks, trailers and mobile support equipment.

Physical Stamina:

Ability to work in a warehouse environment, work in inclement weather, may involve physical activity and long hours.
