JOB SUMMARY:
The Field Operations Specialist serves as a critical field-based professional conducting precise final measurements for window installations and replacements to ensure accurate custom orders, while providing comprehensive photo documentation and on-site verification to enable virtual sales completion for remote sales representatives. This role bridges the gap between remote sales operations and local field execution, ensuring seamless project completion while maintaining exceptional customer relationships. The position requires excellent organizational skills, technical measurement abilities, strong communication skills, and the ability to work independently while supporting virtual sales processes.
Key Responsibilities:
Window Measurement & Technical Support:
- Visit residential and commercial job sites to take precise measurements for window replacements or installations with 100% accuracy
- Verify window opening dimensions and specifications against initial estimates
- Document any discrepancies or modifications needed for proper window installation
- Input measurement data into digital systems accurately and efficiently
- Identify potential installation challenges or access issues and report them to sales and production teams
- Complete window measurements as assigned on the day they are assigned and all photos must be uploaded while at the location or within 1 hour of the inspection time
- Call suppliers to check on window availability
- Assist in the transportation and delivery of windows to job sites when needed
- Support window division reps and installers by providing clear measurements, field notes, and updates
Inside Sales Team Support:
- Conduct on-site visits to projects sold by out-of-state inside sales representatives to gather final verification information and documentation
- Serve as the local field representative for inside sales team members who cannot physically visit project sites
- Collect and report final project details, measurements, and conditions back to inside sales team to complete customer transactions
- Act as the local point of contact for customers working with remote sales representatives
- Project Documentation & Quality Control:
- Take high-quality photos of project sites as needed for sales professionals pre-production or post-production
- Ensure all necessary angles and aspects of the site are documented for future reference and estimating accuracy
- Adhere to the estimating/order checklist and photo checklist for all photos
- Complete Inspection Checklists accurately and thoroughly for both pre and post-project activities as requested
- Conduct on-site quality control inspections to ensure windows meet order specifications and are installed properly
- Document and report any issues with product quality or installation errors
Customer Management & Communication:
- Act as liaison between clients, sales reps, and installers to resolve on-site concerns
- Communicate professionally with homeowners and contractors to represent the company positively
- Coordinate with clients and team leads to ensure timely site visits and communication
- Collect final payments from customers in a professional and courteous manner
- Ensure all payment documentation is accurately turned into the Office Manager
Field Operations & Logistics Support:
- Regional travel as needed to complete scheduled measurements
- Assist in the transportation and delivery of windows to job sites when needed
- Handle materials with care to avoid damage and ensure proper handling
- Support window division reps and installers by providing clear measurements, field notes, and updates
- Administrative Support:
- Assist both field Sales Representatives and Inside Sales Team with administrative tasks as needed
- Ensure all customer records and project documentation are accurately maintained and accessible to remote team members
- Prepare detailed reports for inside sales team regarding site conditions, project status, and customer interactions
- Additional Duties As Assigned
Requirements:
Minimum Qualifications:
- High school diploma or GED equivalent required
- 1-3 years of experience in construction, windows, or home improvement industry ()
- Proven experience in a support role, preferably in a sales or customer service environment
- Experience working with remote teams or supporting off-site sales operations ()
- Customer service experience in field-based roles ()
- Strong measuring skills and ability to use tape measure, laser measure, and mobile apps or tablets
- The ability to do final measurements for windows at a 100% accuracy rate
- Excellent organizational and multitasking abilities
- Strong attention to detail and accuracy
- Effective communication skills, both written and verbal
- Proficiency in using Microsoft Office Suite and other relevant software
- Ability to work independently and as part of a team
- Photography skills and experience with digital documentation ()
- Self-motivated, organized, and dependable
- Valid driver's license and clean driving record
- Reliable transportation
KEY PERFORMANCE INDICATORS (KPIS)
- Measure windows with 100% accuracy
- Complete window measurements as assigned on the day they are assigned
- All photos must be uploaded while at the location or within 1 hour of the inspection time
WORKING CONDITIONS
- Working Hours: Monday – Friday 40 hours and additional as needed
- Location: Elite location or Remote with extensive field work
- Travel: Regular travel to various project sites throughout assigned territory and between states
- Comfortable with frequent travel, including overnights as needed
- Ability to climb ladders and roofs safely
- Ability to remove shingles and siding
- Ability to install tarps or temporary repairs
- Ability to lift and carry up to 50 lbs safely
- Outdoor work in various weather conditions
- Extended periods of driving between project sites
- Standard business hours with flexibility needed for customer meetings and coordination with out-of-state sales team
