Position Summary
The CMS Data Coordinator supports the healthcare organization’s compliance with CMS (Centers for Medicare & Medicaid Services) and other regulatory standards by managing facilities and compliance data within FacilityOne — a specialized facilities management and compliance platform. This role ensures that all facility assets, preventive maintenance records, life safety documentation, and compliance artifacts are accurately maintained, audit-ready, and accessible for internal teams and surveyors. (Note: This role does NOT have any direct report employees)
Key Responsibilities
FacilityOne Data Management
- Maintain and update facility asset inventories, equipment records, and location data within FacilityOne.
- Configure and ensure accuracy of preventive maintenance (PM) schedules and related compliance directives.
- Track and monitor work orders, PM completions, and related documentation.
- Establish and enforce data governance standards (naming conventions, completeness checks, accuracy auditing).
CMS & Regulatory Compliance Support
- Store and organize life safety drawings, inspection reports, testing logs, and regulatory documentation in FacilityOne.
- Prepare and deliver FacilityOne reports and documentation for CMS, Joint Commission (TJC), DNV, and state surveys.
- Support survey readiness by coordinating documentation accuracy and completeness with cross-functional teams.
Data Integrity & Reporting
- Perform routine data audits to identify and resolve discrepancies.
- Build dashboards, templates, and reports for leadership and compliance teams.
- Generate trend analyses and compliance performance metrics.
Cross-Functional Collaboration
- Train facility staff and technicians on correct data entry and documentation procedures in FacilityOne.
- Liaise with Facilities, Safety/Compliance, IT, and Clinical Operations teams to resolve data issues and optimize workflows.
- Support onboarding of new facilities into FacilityOne modules.
Process Improvement
- Recommend enhancements to data capture and reporting processes.
- Assist in developing SOPs related to FacilityOne and CMS documentation workflows.
- Drive adoption of best practices for facility compliance documentation.
What is FacilityOne Software?
FacilityOne is a cloud-based facilities management and compliance platform used extensively in healthcare environments. It serves as the system of record for:
- Asset Management: Tracks all equipment and compliance requirements.
- Preventive Maintenance: Schedules PMs tied to CMS and TJC requirements.
- Work Orders: Logs corrective and routine maintenance activities.
- Life Safety Documentation: Stores floor plans, fire/smoke barrier maps, and inspection records.
- Regulatory Readiness: Consolidates documentation required for CMS and Joint Commission surveys into a centralized, reportable system.
- FacilityOne helps ensure that all facilities data is audit-ready and accessible in a consistent and compliant manner, eliminating fragmented tracking via spreadsheets or paper binders.
Required Qualifications
- ( not required) Associate’s or Bachelor’s degree in Healthcare Administration, Facilities Management, Information Systems, or related field.
- 2+ years of experience in data coordination, facilities, healthcare compliance, or similar roles.
- Prior experience with FacilityOne (required) or other compliance/CMMS platforms.
- Knowledge of CMS, TJC, and healthcare regulatory compliance standards.
- Strong attention to detail and data accuracy.
- Proficiency with Microsoft Excel and reporting tools.
Qualifications
- Experience supporting CMS or Joint Commission surveys.
- Hospital or multi-facility healthcare environment experience.
- Experience creating SOPs and training materials.
- Familiarity with life safety and preventive maintenance programs.
