The Facilities Operations Coordinator provides essential support to local programs in the areas of Facilities, Non-Contracted Equipment/Supplies Inventory, and Fulfillment. The role includes interacting with staff, the public, county personnel, and performing various administrative duties. The Facilities and Support Services Supervisor will train department staff effectively, ensure that direct services are provided as required, and support efficient operations. This position ensures that facilities-related functions, including maintenance, purchasing, and inventory, comply with safety regulations and contractual requirements.
How will I contribute
- Oversee the Facilities areas of the Office Operations department, including facilities maintenance, purchasing, and equipment/resource management and inventory.
- Ensure compliance with safety standards and facilities-related regulatory requirements, maintaining the ability to recertify through inspections or audits.
- Provide timely, professional service to clinic consumers and staff within areas of responsibility.
- Cooperate with other support services supervisors to share administrative support duties.
- Foster positive, harmonious relationships among staff to promote collaboration and effective teamwork.
- Manage break and lunch schedules, ensuring compliance with the California Meal Period Law (California Code of Regulations, Title 8, §11040).
- Ensure all corporate, county, state, and contract deadlines are met for licensing, renewals, and certifications (e.g., business license, vehicle registrations, fire and safety certifications).
- Communicate and ensure compliance with special project, grant, and contract reporting and performance requirements, submitting necessary documentation on time to the appropriate departments or agencies.
- Supervise routine inspections and services to maintain facilities, vehicles, and equipment in clean, working order, including transporting office furnishings, boxes, and equipment as needed.
- Coordinate with Corporate Procurement and Accounts Payable for purchasing needs as required.
- Identify and propose policies and procedures to address consumer and staff support needs, implementing approved policies in collaboration with the Regional Director and/or Clinical Director.
- Generate compliance, utilization, inventory, and cost reports as needed for the program.
- Support clinic policies and objectives, actively participating in staff meetings and relevant committees.
- Serve as Chair of the local Safety Committee and participate as a member of the corporate Safety Committee.
- Provide data and reporting in support of annual budget preparation and ongoing budget monitoring, working closely with the Corporate Fiscal Analyst.
- Respond after hours or on weekends to address alarms and unsafe conditions as needed.
- Perform other duties as assigned to support the overall functioning and success of the program.
- May encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible.
- This position requires flexibility to work early mornings, late afternoons, weekends, and some holidays as the clinic operates 24/7.
What I bring
- High School Diploma (or Equivalent)
- Drivers License: Class C
- 2 years experience in facilities or warehousing supervision and general maintenance, with a strong understanding of cleaning techniques, safety procedures, and the use of cleaning chemicals and equipment; or comparable quantitative field or equivalent related work experience.
- Knowledge of facilities systems and maintenance schedules. Knowledge of office machinery and equipment. Knowledge of office supply and resource inventory procedures.
- Proficient in Microsoft 365 (Office), with strong communication and problem-solving skills. Able to train staff, collaborate on planning, and implement solutions. Capable of meeting deadlines and teaching new rules, policies, procedures, and changes. Skilled in using phone, Outlook, Teams, and letters to communicate with staff, consumers, and outside agencies. Able to perform physical tasks, including lifting, bending, and standing for extended periods. Detail-oriented with the ability to identify cleaning and maintenance needs. Independent, organized, and able to manage time and prioritize tasks effectively. Strong written and verbal communication skills for reporting issues and coordinating with team members.
- Strong work ethic, reliability, and a high level of responsibility in maintaining cleanliness and safety standards. Demonstrates attention to detail, pride in work, and a commitment to providing a clean and welcoming environment. Self-motivated, dependable, and able to work independently with minimal supervision. Flexible and adaptable, with a positive attitude toward teamwork and problem-solving.
- Experience in a healthcare or similar environment is a plus.
