Job Title: Facilities Coordinator\nLocation: Piccadilly Circus, London\nContract Type: Temporary\nDuration: 3-6 months\nPay: £19 - £21.50 per hour\nWorking Hours: Monday to Friday, 8 AM - 5 PM\n\nThe Role:\n\nAs a Facilities Coordinator, you will play a crucial role in maintaining the smooth running of our client's facilities operations. Your responsibilities will include:\n\nDaily Service Contracts Coordination: Liaise with contractors and theatre teams to schedule service visits and manage general contract coordination.\nQuoted Works Tracking: Monitor quoted works, purchase orders, and coordinate with contractors and theatre personnel to ensure timely execution.\nReactive Tasks Management: Address tasks that fall outside the scope of the maintenance contractor and ensure they are tracked effectively.\nWeekly Site Visits: Conduct weekly site visits, coordinating with property and project teams to engage relevant personnel for a productive two-hour visit.\nCompliance Monitoring: Oversee compliance action notes, manage the compliance action tracker, and follow up on updates.\nMonthly Maintenance Reporting: Ensure timely chasing and distribution of the monthly maintenance report provided by a third party.\nFacilities Small Works Coordination: Assist in meetings with contractors regarding small works and general coordination tasks.\nWeekly Walkaround Meetings: Attend weekly meetings with theatres and properties to discuss facilities matters (to be confirmed).\nEICR Testing Coordination: Support general coordination and address access issues related to Electrical Installation Condition Report (EICR) testing.\nLegionella Actions Tracking: Help monitor and track reactive legionella and water management tasks.\nQuotes and Invoices Tracking: Manage tracking of quotes and invoices related to repairs and maintenance (R&M), fabric, and mechanical, electrical, and plumbing (MEP) tasks.\nEscalations Tracking: Keep a record of any escalated tasks within properties.\nDecorator Coordination: Assist with coordinating packaged decorating works.\nHealth & Safety Coordination: Collaborate with Heads of Departments (HODs) on health and safety actions.\nR&M Spend Tracking: Aid in tracking repairs and maintenance expenditure.What We're Looking For:\n\nStrong communication skills and the ability to work collaboratively with diverse teams.\nComfortable with a 50/50 split between on-site and office work, requiring regular daily and weekly site visits.\nProficiency in MS Office packages, SharePoint, and Excel.\nA proactive approach to problem-solving and task management.\nAny physical maintenance / facilities experience is advantageous. \n\nAdecco is a -confident employer.
