Customer Service Coordinator – Construction HVAC

About the Role:
Bell Mechanical Services is seeking a Customer Service Coordinator with experience in construction HVAC to support our customer service and dispatch operations. This role is a mix of inbound/outbound customer support, scheduling, and team coordination. The ideal candidate has strong computer skills, understands the HVAC/construction service environment, and thrives in a fast-paced setting where accuracy and professionalism matter.
What You’ll Do:
- Flexible hours
- Handle inbound/outbound calls and emails from customers, builders, and vendors
- Schedule service calls and coordinate dispatch to ensure timely project completion
- Oversee scheduling software and reporting for the service department
- Provide training and guidance for new hires in customer service/dispatch
- Monitor call quality and support improvement of call scripts and processes
- Track team performance metrics (call times, booking rates, customer satisfaction)
- Work with service managers to ensure smooth communication and workflow
- Assist with escalated customer issues and help resolve complaints
What We’re Looking For:
- High school diploma or GED required; trade school or HVAC/construction background
- Previous experience in customer service, dispatch, or coordination in HVAC/construction
- Strong computer skills (Microsoft Office, scheduling software, CRM systems)
- Excellent communication skills and ability to multitask in a fast-paced environment
- Problem-solving mindset and strong attention to detail
- Ability to work independently and as part of a team
