Overview
Energy Jobline is supporting a major international energy infrastructure programme and is seeking an experienced Document Controller to manage and coordinate project documentation throughout the project lifecycle.
The role will focus on ensuring all technical and project documentation is properly controlled, distributed, and archived in accordance with project procedures, company standards, and industry best practices.
The Role
Reporting to the Project Services Manager, the Document Controller will be responsible for maintaining the integrity of the project document management system, ensuring that engineering, procurement, construction, and commissioning documentation is accurately recorded and distributed.
The position will work closely with project teams, contractors, and vendors to ensure all documentation is managed effectively in both electronic and hard copy formats where required.
Key Responsibilities
- Establish and maintain the project Document Management System (DMS/EDMS)
- Register, track, distribute, and archive project documentation including drawings, specifications, procedures, manuals, and correspondence
- Manage document numbering, version control, and revision tracking
- Maintain document registers, submission logs, and transmittal records
- Ensure timely distribution of documentation to project stakeholders including clients, contractors, subcontractors, and vendors
- Support engineering, procurement, construction, and commissioning teams with document submission and retrieval
- Monitor vendor and subcontractor document submissions to ensure compliance with project schedules
- Ensure document deliverables meet contractual and procedural requirements
- Support QA/QC teams with document records required for audits and compliance
- Prepare document status reports for project management and client reporting
- Assist with the preparation of final project documentation including data books, dossiers, and as-built records
- Provide guidance to project teams on document control procedures and EDMS usage
Skills & Experience
- Strong experience in document control within large engineering or infrastructure projects
- Familiarity with project document workflows and document numbering systems
- Proficiency in Electronic Document Management Systems (EDMS) such as Aconex, Procore, ProArc, Documentum, SharePoint, or similar platforms
- Strong organisational and record management skills
- Ability to manage large volumes of documentation with accuracy and attention to detail
- Strong communication and coordination skills when working with multidisciplinary project teams
Qualifications
- Bachelor’s Degree (BSc) from an accredited university
- Minimum 8 years’ experience in document control within engineering, construction, or energy sector projects
- Experience supporting engineering, procurement, construction, and commissioning documentation
- Strong proficiency in MS Office tools including Word, Excel, and PowerPoint
- Excellent written and spoken English communication skills
Additional Information
The advertised day rate applies to independent consultants operating on a contract basis. Candidates who prefer to be engaged as employees of the client may be offered a different remuneration structure.
