About the Role

We’re seeking a motivated Dispatch Coordinator to support daily scheduling operations. This role ensures efficient technician routing, optimized appointment scheduling, and clear communication across field teams and customers. Success requires strong organization, proactive follow-through, and the ability to multitask in a fast-paced environment.

Responsibilities

  • Review daily work orders and ensure accurate technician assignment
  • Adjust and reschedule appointments due to call-outs or availability changes
  • Generate and distribute daily reports (scheduled, completed, pending RA, fallout)
  • Continuously monitor and optimize schedules for efficiency and productivity
  • Contact customers to offer earlier appointments when openings become available
  • Schedule troubleshooting appointments during assigned shifts
  • Communicate and implement scheduling process updates
  • Manage technician availability (meetings, PTO, events, call-outs) in scheduling systems (e.g., Layers)
  • Monitor and manage dispatch ticket queues and drive timely resolution
  • Track technician activity in Geotab; ensure on-time arrivals and provide customer updates for delays
  • Support internal channels (TechTalk Support / Installation Support chats) with dispatch needs
  • Collaborate with field teams on scheduling adjustments and workflow needs
  • Update Jira tickets for remote activations (headers, labels, and required photos attached to Jira and work orders)
  • Schedule appointments after OSP escalations are cleared
  • Create HUB tickets for out-of-stock equipment and coordinate scheduling once inventory returns

Qualifications

  • High school diploma/GED required; associate’s degree or higher a plus
  • Prior dispatch, scheduling, or coordination experience
  • Familiarity with scheduling systems, ticketing tools (e.g., Jira), and fleet tracking (e.g., Geotab)
  • Strong organizational and time management skills with high attention to detail
  • Ability to multitask and adapt quickly in a high-volume environment
  • Excellent communication and customer service skills
  • Strong problem-solving skills with a proactive, solution-oriented mindset
  • Comfortable working across multiple platforms simultaneously
  • Strong sense of urgency and ability to prioritize under pressure
