Position Overview:
We are seeking a detail-oriented and proactive Deputy Project Manager to support our project management team in ensuring smooth project operations from start to finish. The ideal candidate will have a strong background in project coordination, with a keen eye for detail and excellent organizational skills. This role is pivotal in supporting the execution of our projects, coordinating between departments, and facilitating seamless communication with our clients.
Key Responsibilities:
- Purchase Order Management:
- Create and update purchase orders for project materials and services.
- Coordinate with vendors and suppliers to ensure timely delivery and accurate documentation.
- Estimate at Completion (EAC) Tracking:
- Maintain and update the EAC tool, ensuring accurate financial projections throughout the project lifecycle.
- Enter EAC data into the Sage finance tool for budget tracking and financial planning.
- Financial Closeout:
- Assist Project Managers in preparing monthly project performance reports
- Work with Project Managers and Director to close out monthly financials in Sage
- Perform financial analysis as required to implement and create reporting/tools to improve business performance and efficiency
- Project Closeout:
- Own the project closeout process, ensuring all deliverables are completed and documentation is finalized.
- Coordinate with relevant departments to complete post-project evaluations and closeout activities.
- Accounts Receivable and Payable:
- Prepare invoices for submission to the Accounts Receivable (AR) team after review by the Project Manager.
- Receive and process Accounts Payable (AP) invoices on behalf of the Project Manager.
- Act as owner of AR collections and tracking
- Act as owner of AP coordination and tracking
Qualifications:
- Bachelor’s degree in Project Management, Business Administration, or a related field (or equivalent experience).
- 2+ years of experience in project coordination or management, preferably in the Renewable Energy industry.
- Familiarity with EAC tools, Sage software, CRM and purchase order systems is highly desirable.
- Strong organizational and multitasking skills, with an ability to manage competing priorities.
- Excellent communication skills, both written and verbal.
- Proficiency with Smartsheet, Microsoft Excel and customer portals is a plus.
