Job Description

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Contract Support Coordinator to join the team in London.\n \nAbout the Role:\n \nTo provide exceptional customer service and comprehensive financial and administrative services to the client and the contract. In order to be successful in the role it is key that the Contract Support understands procedures, processes and operates them to the required standards.\n \nRole Responsibilities:\n \nContract\n\nIdentify and help drive implementation of savings opportunities to ensure customer and GWS financial savings targets are maximized.\n\nDrive high quality commercial performance through understanding the contractual commitments, better buying and use of suppliers.\n\nCompiling of the Contract Review Business Unit pack\n\nConducting supplier surveys on MySupplier\n\nCompiling of the Customer Monthly Management Report\n\nLiaising with the client regarding payment of invoices\n\nSite inductions\n\nHelpdesk: including but not limited to; logging, distributing and closing of reactive calls on desired system.\n\nContinually develop systems to maximize efficiency benefits for the customer and GWS.\n\nUpdate labour allocations to ensure accurate client reporting\n\nFinance\n\nSupport the preparation and delivery of monthly Contract Reviews.\n\nCo-ordination of the billing application, calculating margins, raising invoices and submitting to client\n\nChasing of debt to keep within contractual terms\n\nCreation and review of management reports such as P&L, WiP, Unbilled Revenue, Debt, OPO's & Invoice Pool\n\nRaising Purchase Orders\n\nReviewing open Purchase Orders\n\nPolicy and procedure compliance\n\nProcessing supplier invoices and resolving any queries\n\nComprehensive spend tracking\n\nWeekly report submission to include WiP, Unbilled Revenue, Debt, Invoice Pool and OPO updates\n\nReporting on In Scope and Out of Scope works\n\nDrive high quality financial performance to influence P&L result.\n\nAd-hoc reporting as requested by Business Unit or Business/Finance.\n \nQuality\n\nCo-ordination of sub-contractor files, ensuring they are statutorily compliant with QHSE requirements\n\nReporting and management of work management system\n\nLogging hazards & customer feedback on the QHSE Management Portal\n\nSubcontractor reviews\n\nLog books compliance\n\nMaintain eLogbooks\n\nPeople\n\nTimesheets\n\nOrganising training for the team\n\nUpdating of the team attendance planner\n\nArranging agency cover and submitting hours on portal\n\nCulture carrier and promotes best practice\n \nOther\n\nObtaining supplier quotes and uploading onto the internal system for client approval\n\nMaintaining the stationery supply\n\nReception cover if applicable\n\nUpdating Portals as and when required\n\nConstantly improve quality, service and efficiency.\n\nSuccess Measures\n \nSuccess in this role will be measured through defined targets as follows:\n\nAchievement of Business Unit / Contract KPIs in line with business requirements\n\nRole Requirements:\n \nEducation \n\nHold academic passes with at least GCSE Maths and English or equivalent.\n\nHigher educational qualifications to 'A' level or degree (or equivalent)\n \nSkills \n\nHighly computer literate\n\nIT Skills to achieve key tasks and give the business a sound reporting base.\n\nSuperior written and verbal communication skills with strong oral presentation skills.\n\nCapable of working in a matrix environment.\n\nFormal training in the use of Excel, Word and presentation software packages\n\nKnowledge\n\nA basic understanding of business and customer-facing environments.\n\nUnderstands the requirements of operating in a contract environment.\n \nExperience\n\nBeen a part of a high-performing team.\n\nPrevious experience of a service industry role using operating systems such as Dynamics AX.\n \nAptitude\n\nCustomer focus skills with a passion for customer service.\n\nEffective communication skills enabling the individual to work with clients, suppliers, and staff at all levels\n\nSelf-motivated and ambitious\n\nResults/ task orientated, with attention to detail and accuracy\n\nExcellent time management and organisational skills\n\nCommitment to continuous improvement\n\nAbility to work as part of a team, as well as independently\n\nCalm manner, able to work under pressure and with changing demands and priorities\n\nConfidential and discrete approach\n \nCircumstances \n\nThe individual must be willing to undertake travel as the role/business requires\n \nCore Competencies\n\nCustomer Service\n\nCommunication\n\nIntegrity\n\nAttention to Detail\n\nWhy CBRE\n \nWhen you join CBRE, you become part of the global leader in commercial real estate services and investment that helps businesses and people thrive.
