Schedule: Full time, exempt (salaried) position. Standard business hours Monday-Friday, with flexibility to support occasional weekend work or respond to urgent site needs as required.
Job Summary:
We are seeking a highly organized and experienced Project Manager to join our team at Harpeth Decks. This role is central to ensuring a smooth and seamless construction process for our customers and crews. The Project Manager coordinates schedules, oversees jobsite progress, and serves as the primary liaison among customers, crew members, subcontractors, and leadership. The ideal candidate is a strong communicator with excellent problem-solving skills and a commitment to delivering high-quality outdoor living projects on time and within scope. Key Responsibilities:
Customer Communication & Experience
- Serve as the main point of contact for customers before, during, and after project completion.
- Clearly communicate project timelines, expectations, and any changes to scope or schedule.
- Address concerns promptly and document all change requests.
- Provide updates on progress, punch lists, and other project details through JobTread.
Crew Coordination & Jobsite Oversight
- Review pre-construction hand-off package from Project Engineer prior to scheduling crews.
- Schedule work locations, tasks, and crew assignments based on project plans and scope.
- Set expectations with crews prior to, during, and after each project phase.
- Supervise daily site operations and monitor progress to ensure work stays on scope and on schedule.
- Conduct routine jobsite walkthroughs to identify and document quality issues and ensure timely corrections.
- Create and manage punch lists based on customer feedback and quality control standards.
- Coordinate with the runner for deliveries, trailer/dumpster needs, and site cleanup.
- Provide hands-on support as needed, including minor repairs or stepping in when a crew shortage occurs.
Vendor & Material Management
- Communicate material needs and shortages identified on the jobsite to leadership.
- Coordinate with the runner to ensure timely delivery of replacement materials.
- Confirm that materials delivered to the site align with the project scope.
- Report material overages or returns to leadership for appropriate storage or credit.
Subcontractor & Trade Partner Coordination
- Communicate project scope, review drawings, and conduct on-site walkthroughs with subcontractors.
- Document and share project plans to ensure accuracy in execution.
- Review quotes, monitor progress, and address punch list items with subcontractors.
- Approve completed work for invoicing and communicate status to leadership.
Leadership & Administrative Responsibilities
- Act as the internal leader and primary liaison between crews, customers, and leadership.
- Stay informed on all job notes, scope changes, and inspection reports, documenting issues and ensuring timely resolution.
- Schedule and coordinate with inspectors as needed to resolve compliance issues.
- Attend weekly leadership meetings to provide project updates and participate in company planning discussions.
- Lead the weekly Start to Finish meeting with sales and leadership to plan and coordinate upcoming jobs.
- Consult on agenda items and provide project updates during All-Staff Meetings, led by company leadership.
Professionalism & Safety
- Maintain a respectful and professional demeanor with coworkers, customers, and trade partners.
- Adhere to all safety protocols and job site regulations.
- Ensure projects are completed on time, within scope, and to Harpeth Decks’ quality standards.
Qualifications:
- Prior experience in a project management and leadership role within construction
- Strong communication and decision-making skills
- Ability to manage workflow and assign tasks effectively
- Familiarity with wood types, composite decking materials, and weatherproofing techniques
- Physical stamina and ability to lift heavy materials and work on ladders
- High school diploma/equivalent
- Able to lift 120 lbs and perform physically demanding tasks on a daily basis
- Strong attention to detail and a commitment to quality workmanship
- Must be able to maintain a professional appearance and demeanor on job sites
- Valid driver’s license and reliable transportation required
- Ability to work alongside the team while providing direction and oversight
- Understanding of basic jobsite safety practices
- Willingness to work outdoors in varying weather conditions
- Experience coordinating schedules, materials, and subcontractors across multiple projects
- Proficiency with project management software (e.g., JobTread) and documenting project progress
Skills:
- Experience coordinating inspections and resolving compliance issues
- Strong vendor management and negotiation skills
- Ability to operate or coordinate small machinery such as skid steers, dingos, or similar equipment
- Knowledge of local building codes and permitting processes
- Strong problem-solving skills and ability to adapt to changing circumstances
- Comfortable working in fast-paced, hands-on environments
- Positive attitude and eagerness to learn and grow with the team
- Spanish-speaking ability is a plus
