INTRODUCTION
The Project Coordinator’s function is to assist Executive and Management staff with the execution of various tasks and assignments, supporting day-to-day business needs. This position is important to our firm and the fulfillment of the duties and responsibilities contribute to the overall success of the company.
AUTHORITY
The Project Coordinator derives authority from the Office Manager and is granted full authority to carry out the duties set forth in the job description.
RESPONSIBILITY
The Project Coordinator is directly responsible to the Office Manager for the proper discharge of his/her duties.
DUTIES
The principal duties may include the following:
1. Maintain company correspondence and files.
2. Provide Procore support to Office Staff and/or accounting.
3. Maintain Non-job files.
4. Assist Management with Bid distribution and follow-up.
5. Assist accounting with payables, including mailing payments and filing paid invoices
6. Assist/manage bidding admin. Includes printing documents, preparing bid forms, WMBE efforts, etc.
7. Prepare subcontracts, change orders, and purchase orders.
8. Process Submittals
9. Assist Project Managers/Execs with closeout documentation
10. Setup jobs in Sage (accounting software)

EXPERIENCE
1. 5+ years of previous project support experience
2. High School diploma or Equivalent required
3. Strong proficiency in Microsoft Office Suite
4. Excellent written and verbal communication skills, as well as strong interpersonal skills
5. Strong organizational and time management skills
6. Flexible, skilled at multi-tasking, detail oriented and organized
7. Previous Accounts Payable experience
8. Previous experience with Procore software desired, but not required
9. Experience with Sage Accounting , but not required.
10. Construction Experience , but not required.
