Office Administrator:
Support staff in day-to-day operations and build dedicated support system for the organization. The Office Administrator manages the general administrative support with office and warehouse related tasks such as maintenance, supplies and general administrative support.
Duties and Responsibilities:
· Process all credit applications, credit card authorizations and check requests.
· Produce project management software reports as needed to reconcile job costing.
· Assist Office Manager/Bookkeeper to provide information as requested during the preparation of insurance audits.
· Track corporate documents and assure all are current- business licenses, contractor licenses, corporate renewal, and insurance.
· Assisting Office Manager with onboarding of all new employees and benefits administration.
· Manage relationships with external vendors and service companies to maintain building facilities and schedule repairs, maintain office equipment, order supplies.
· Assisting office Manager with marketing, company signs, shirts, and any other marketing responsibilities requested. Work with website content development.
· Maintain relationships with subcontractors and suppliers.
· Contract Administration (insurance certificates, signed subcontracts, licenses, etc)
· Maintain Red Team database, setup new contractors, etc.
· Maintain Red Team subcontractors required documentation up to date.
· Maintain permit registration and insurance with all municipalities.
· Assist with managing the Permitting process-applications, NOC, Inspections, etc.
· Answer phone and respond to company voicemail, respond to general email inquiries.
· Assist the President and staff with administrative tasks such as scheduling of meetings, equipment setup for remote meetings, taking notes, etc.
· Assist with projects and estimating as needed.
· Other duties as assigned by the Office Manager and President.
