Project Administrator
Position Summary
As a project administrator at CCES you will provide support to project management, coordinators, and other staff members. In this role, you will be responsible for organization and coordinating department operations and procedures to ensure organizational effectiveness and efficiency. The project administrator will be responsible for working project team members and maintaining complete and accurate records for multiple projects and performing clerical support based on need. This position reports to the VP of Construction.

Position Description & Responsibilities
· Provide day-to-day administrative support to the Large Projects Team and other tasks as assigned
· Schedule meetings and record minutes
· Maintain relevant project data and records across a variety of construction platforms (i.e. Plangrid, Procore, etc.)
o Provide first line management for the Large Projects Team in BuildOPs
· Assist Project Managers in preparing and compiling required paperwork for customers and projects
· Provide billing support through the preparation and submission of payment applications and their associated documentation
· Track submittals through return of approved submittals to delivery
· Provide delivery of approved submittals to subcontractors
· Manage and track all Request for Information (RFI) through request to approved
· Secure electrical permits in counties where work is being performed
· Create job packets which include Site Specific Safety Plan (SSSP), Material Safety Data Sheets (MSDS), Training & Competency Logs, and related miscellaneous exhibits requested by customers
· Request site parking permits
· Gather and collate O&M’s and other deliverables for project completion based on customer requirements
· Follow departmental procedures and initiate new standard operating procedures where necessary
Required Skills & Competencies
Proficient using applications in Microsoft Office Suite (Word, Excel, Teams, etc.)
Experience utilizing Adobe PDF Editor
Demonstrated success multi-tasking across platforms and stakeholders
Experience & Education
High School Diploma or Equivalent
