Were looking for a skilled Construction Office Assistant with strong administrative and accounting abilities to support our growing team. The right candidate will bring 5+ years of experience in a construction office, proficiency in QuickBooks, and comfort with Buildertrend or similar project management software.
Responsibilities
- Manage day-to-day office operations in a fast-paced construction environment.
- Oversee all QuickBooks entries: accounts payable/receivable, invoicing, reconciliations, and expense tracking.
- Enter and update project schedules, budgets, and change orders in Buildertrend.
- Handle client communication, including scheduling, follow-ups, and progress updates.
- Maintain organized records of contracts, permits, and job files.
- Process subcontractor invoices, timesheets, receipts, and compliance documents.
- Coordinate with vendors and suppliers to ensure timely deliveries and accurate billing.
- Provide administrative support to management and project managers as needed.
Requirements
- 5+ years of construction office experience (required).
- Strong proficiency in QuickBooks (required).
- Experience with Buildertrend or similar construction/project management software ().
- Solid knowledge of construction processes, documents, and terminology.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proactive problem-solver with attention to detail.
