Hodgdon Management and Construction pursues a Development Coordinator to support the execution of commercial development projects, with a focus on acquisition administration, vendor coordination, contract management, and task tracking. This role is highly detail-oriented and operationally focused, ensuring projects run smoothly from documentation, reporting, and process management perspectives.
Qualifications
- Associate’s degree or equivalent experience required
- At least 3 years of administrative or contract support experience, preferably in a business development, procurement, or compliance environment
- Strong attention to detail, organizational skills, and excellent written and verbal communication skills
- Proficiency in Microsoft Office, Adobe Acrobat/Adobe Sign, and other administrative software
- Ability to manage multiple projects simultaneously, meet deadlines, and work effectively with stakeholders across multiple departments
- Experience working in a fast-paced environment with the ability to meet short- and long-term deadlines
- Excellent time management and organizational skills, with a commitment to accuracy and attention to detail
- Strong interpersonal skills with the ability to take initiative, multitask, collaborate as a team player, and adapt to shifting priorities
- Working knowledge of reading and understanding plans and specifications
- : Ability to read, write, and understand English and communicate effectively both electronically and verbally
- Mathematics: Ability to prepare and analyze numerical figures and create and interpret spreadsheets
Responsibilities
- Support scheduling coordination with contractors and consultants
- Track permitting and inspection status
- Assess and order all third-party reports related to due diligence and feasibility during the acquisition phase
- Provide high-level administrative and operational support to ensure efficient departmental processes and adherence to company contracting policies
- Organize and manage workflow and provide administrative support for department staff, including coordinating schedules, meetings, presentations, and appointments
- Maintain oversight of departmental projects, compile necessary project data, and ensure deadlines are met
- Prepare technical documents including spreadsheets, databases, and complex reports
- Manage and maintain shared files and records while handling confidential information with discretion
- Work independently and collaboratively on special and ongoing projects; may serve as project lead for assigned initiatives
- Provide backup support for other administrative staff as needed
Compliance & Contract Coordination
- Ensure departmental contract and procurement activities follow company policies and approval protocols
- Monitor and verify proper bidding procedures, including obtaining required quotes and documentation
- Serve as point of contact for team members regarding compliance with purchasing and procurement guidelines; collaborate with Contracts and Accounts Payable
- Assist with contract management, budget tracking, purchase orders, project timelines, and invoice processing
- Prepare and distribute vendor packets using Adobe Sign and ensure timely collection of vendor forms, W-9s, and signatures
- Work with Contracts and Risk Management to verify all vendor contracts and insurance certificates are current and approved before engagement
- Assist with vendor setup in internal systems and ensure documentation is properly filed
