The Construction Administration Manager plays a critical role in supporting preconstruction and operations by managing administrative construction processes, documentation, and communication flow. This position is responsible for subcontractor coordination, plan and document control, permitting support, and helping streamline internal processes across multiple platforms. The ideal candidate is highly organized, detail-oriented, and experienced in commercial construction administration within a General Contractor environment and career driven.
Construction Administration & Documentation
- Create, issue, and track subcontracts in coordination with project managers and accounting.
- Manage subcontractor communications, including document requests, contract exhibits, and compliance tracking.
- Prepare and distribute meeting minutes for internal, subcontractor, and client meetings, ensuring action items, decisions, and responsibilities are clearly documented.
- Support client communications related to scope of work, including clarifications, documentation of changes, and coordination with project teams.Maintain organized and current project files, including drawings, specifications, submittals, and revisions.
- Control and distribute plans and documents, ensuring teams are always working from the latest information.
- Assist with closeout documentation, including warranties, O&M manuals, and as-built coordination.
Permitting & Jurisdictional Support
- Support and track permitting processes with local AHJs.
- Coordinate permit applications, plan resubmittals, and approvals.
- Maintain permit logs and status reports for project teams.
- Act as a liaison between inspectors, municipalities, and internal teams as needed.
Preconstruction & Project Handoffs
- Create and maintain preconstruction handoff packets for transition from estimating to operations.
- Ensure budgets, scopes, schedules, subcontractor information, and project constraints are clearly communicated.
- Assist in standardizing handoff procedures to improve consistency and reduce missed information.
Process Improvement & Systems Management
- Help streamline and document workflows for construction administration and preconstruction processes.
- Manage and maintain project data across platforms such as Microsoft Office, RedTeam, BUILT, and other internal systems.
- Assist with SOP creation, templates, checklists, and internal guides to support team efficiency.
- Identify gaps or inefficiencies and recommend process improvements.
General Support
- Support Project Managers and Operations leadership with administrative and organizational needs.
- Prepare reports, logs, and tracking tools for active projects.
- Maintain professionalism and clear communication with internal teams, clients, subcontractors, and external stakeholders.
