Summary
The Construction Accounting Clerk plays a crucial role in managing the full-cycle job cost and contract accounting functions for construction and development projects. This includes completing and reviewing all job-related invoices, maintaining detailed project records, and ensuring accurate financial documentation. The role involves direct interaction with customers and vendors via email, internet, and phone, requiring excellent organizational and communication skills. The Construction Accounting Clerk supports both the internal team and external stakeholders to ensure financial accuracy and compliance with company policies and accounting standards.
Essential Functions
- Review AP invoices, code, and enter
- Maintain project-related records, including contracts and change orders.
- Authorize the transfer of expenses into and out of project-related accounts.
- Track appropriate Lien Releases for assigned projects.
- Create and submit AIA billing to subcontractors.
- Work closely with the Project Engineers and Project Managers to ensure financial performance and necessary budget updates.
- Assist in investigating, reconciling, and balancing project costs.
- Verify the accuracy of invoices and other accounting documents or records.
- Reconcile records with internal company employees and management, or external vendors and customers.
- Compile data and prepare a variety of reports.
- Provide clerical & administrative support and assist with special projects, as directed by the Accounting Supervisor.
- General bookkeeping tasks.
- Review purchase orders for appropriate documentation and approval prior to posting invoices.
- Support daily accounting operations.
- Update and maintain customer and vendor databases using Sage & Procore.
- Utilize computer tools such as QuickBooks, Word, Excel, Adobe, Sage, Outlook, and Procore, as well as online meeting and collaboration software.
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and generally accepted accounting principles (GAAP).
- Participate in the organization and execution of accounting projects as required. Professionally represent the company, and manage and maintain customer relationships through prompt, clear, and consistent communication.
- Perform additional duties as assigned.
Core Skills and Competencies
- Construction billing experience.
- Proficiency in Sage, Procore, QuickBooks, Microsoft Word, Excel, and Outlook.
- Strong clerical skills, including effective phone and email communication, document filing, and general computer proficiency.
- Professional demeanor with sound judgment, discretion, and maturity in handling confidential information.
- Excellent communication skills with the ability to effectively engage with customers, co-workers, and stakeholders.
- Strong team player with the ability to collaborate efficiently in a dynamic work environment.
Education and Experience
- Minimum of 2-5 years of experience in an accounting role, preferably within the construction billing experience.
Job Conditions
- Office-based role with full-time hours of 8:00 AM to 5:00 PM, Monday through Friday, with potential for overtime as needed.
- Ability to occasionally lift and carry up to 25 pounds and move within the office as needed.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to maintain focus and attention to detail in a busy office setting with moderate noise levels.
- Perform general office functions.
