Commercial Assistant
Location — JAFZA, Dubai, UAE (Office-based) Job purpose — Provide sales administrative support and key-account coordination for Middle East markets (primary: Iraq, Syria, Jordan; secondary: GCC). Ensure accurate order handling, timely deliveries, and clear cross‑functional communication. SAP knowledge is a plus. Core responsibilities Order management: receive/validate POs, enter orders in ERP/CRM (SAP helpful), track status, prepare pro forma invoices and export paperwork, liaise with warehouse/logistics and freight forwarders. Key-account support: act as primary contact for assigned accounts, follow up on orders/quotations, support account reviews and promotions. Commercial controls: monitor promotional budgets, reconcile month‑end trade promotions and credits, track turnover by country. Reporting & data: maintain customer master, sales trackers and CRM; produce weekly/monthly reports (orders, shipments, revenue vs target, receivables). Cross-functional liaison: coordinate with Finance, Quality, Regulatory, Supply Chain and Head Office; escalate issues as needed. Process & compliance: recommend process improvements, ensure SOP and export compliance, support audits. KPIs Order accuracy (target 98%) On‑time shipment confirmations Order‑to‑dispatch lead time Report timeliness and accuracy Days Sales Outstanding (DSO) for assigned accounts Promotional budget variance Requirements Education: Bachelors in Business, Commerce, Supply Chain or related. Experience: 2–3+ years in sales coordination/order management (FMCG/food preferred); regional experience in Middle East required. Languages: English fluent; Arabic desirable. Systems: Advanced Excel; ERP/CRM experience required (SAP a strong plus); Power BI advantageous. Skills & competencies Customer focus, attention to detail, clear communication, organisation, problem‑solving, teamwork. Working relationships Internal: Sales, Operations, Warehouse, Logistics, Finance, Quality, Head Office. External: Distributors, customers, freight forwarders, customs brokers.
