The Clinical Services Supervisor is responsible for overseeing all Patient Service Representatives (PSRs) across multiple clinic locations to ensure exceptional patient service, efficient front-desk operations, and consistent implementation of procedures. This role includes onboarding, training, and ongoing support of staff in the use of Athenahealth (Athena) electronic health record (EHR) and practice management systems. The Clinical Services Supervisor plays a key role in maintaining workflow efficiency, ensuring policy compliance, and promoting a high standard of patient experience.

Requirements:

Key Responsibilities:

  • Supervise, support, and schedule all Patient Service Representatives across clinic locations.
  • Serve as the point of contact for day-to-day PSR operational concerns, including performance, scheduling, and coverage.
  • Develop, implement, and lead training programs for PSRs, with a primary focus on Athena system use, check-in/check-out workflows, appointment scheduling, patient portal, and insurance verification.
  • Provide hands-on training and support for new hires and ongoing refresher training for existing staff.
  • Conduct regular audits of front-desk operations to ensure accuracy, efficiency, and compliance with clinic policies.
  • Work collaboratively with Practice Administrator to ensure consistent workflows and communication across all sites.
  • Monitor patient satisfaction and service metrics, identifying areas for improvement and leading initiatives to enhance the patient experience.
  • Assist with the development and maintenance of policies, procedures, and documentation related to front-office operations and Athena workflows.
  • Stay up to date on system updates, changes in clinic protocols, and insurance billing practices to ensure staff remains current.
  • Participate in hiring, onboarding, performance evaluations, and disciplinary actions for PSR staff.
  • Maintain a visible presence in clinic sites to foster a supportive, professional environment.
  • Other duties as assigned.

Qualifications:

  • 2+ years of experience in a supervisory or lead role in a clinical or medical office setting.
  • Strong working knowledge of Athenahealth EHR and practice management system required.
  • Experience training staff in healthcare software systems.
  • Excellent interpersonal, communication, and leadership skills.
  • Ability to manage multiple locations and prioritize effectively.
  • Knowledge of medical office procedures, HIPAA regulations, and insurance processes.
  • Process improvement or workflow development experience
