Schedule: 35-hour work week | Hybrid Schedule
Kazan, McClain, Satterley & Greenwood, a respected law firm with a long-standing commitment to client advocacy, is currently seeking a highly organized and detail-oriented Client Records Specialist to join our team. This role plays a vital part in maintaining secure, accurate, and up-to-date client records and supporting our case management teams with timely and efficient information handling.
About the Role
The Client Records Specialist is responsible for obtaining, managing, and maintaining confidential client records, ensuring compliance with regulatory standards and internal policies. You’ll serve as a key support to case teams by keeping records accessible, organized, and compliant with data privacy regulations.
Key Responsibilities
Duties may include, but are not limited to:

Obtain, organize, and maintain client records (medical, social security, military, financial, legal, employment, etc.)

Ensure records are accurate, complete, and routinely updated

Input and manage data in firm systems such as Data Browser

Process requests for client records in accordance with legal and internal standards

Maintain secure storage of all records per HIPAA, GDPR, and other applicable regulations

Partner with case management teams to ensure records are up to date and accessible

Perform additional administrative duties as assigned

Proficiency with Microsoft Office Suite and strong digital literacy

Ability to multi-task, work independently, and meet tight deadlines
