Overview
We are seeking a highly organized and motivated Assistant Project Manager (APM) to support our HVAC and construction projects from planning through completion. The ideal candidate will assist project managers and field teams in coordinating schedules, budgets, materials, subcontractors, and documentation to ensure projects are delivered on time, within scope, and according to quality standards. This position requires strong communication skills, technical understanding of HVAC systems and construction processes, and the ability to thrive in a fast-paced, team-oriented environment.
Key Responsibilities
- Assist the Project Manager in planning, coordinating, and executing HVAC and construction projects.
- Coordinate with engineers, subcontractors, vendors, and field personnel to ensure timely delivery of materials and completion of work.
- Handle coordination of vendor material quotations and estimates.
- Coordinate project documentation such as As-built drawings, submittals, O & M manuals, scheduling inspections, and applying for permits.
- Manage project/estimate list for PMs.
- Support project documentation including contracts, change orders, submittals, RFIs.
- Assist with scheduling inspections, obtaining permits, and ensuring compliance with building codes and HVAC regulations.
- Identify potential project risks and support the development of mitigation plans.
- Foster positive relationships with clients, subcontractors, and internal stakeholders to maintain open communication and resolve issues promptly.

Qualifications
- Education: Degree in construction management, Mechanical Engineering, Project Management, or a related field but not required. Practical experience is considered more important.
- Experience: 1–3 years of experience in HVAC, mechanical contracting, or general construction project coordination or management.
- Technical Skills:
o Knowledge of HVAC systems, mechanical drawings, and construction documents.
o Proficiency with project management tools (Procore, Bluebeam, Smartsheet, Salesforce, or Microsoft Project).
o Competency in Microsoft Office Suite (Word, Excel, Outlook).
- Soft Skills:
o Strong communication and interpersonal skills with the ability to work across departments.
o Excellent time management and organizational abilities.
o Problem-solving mindset with attention to detail.
o Ability to prioritize and multitask in a dynamic environment.
Qualifications
- Familiarity with HVAC design principles, ductwork layouts, and mechanical system installations.
- Knowledge of local and state construction codes and permitting processes.
- Experience working with commercial, institutional, office space, or medical.
- CAPM or PMP certification (or willingness to pursue).
Working Conditions
- Full-time position with occasional travel to job sites and client meetings.
- Typical schedule: Monday through Friday, with flexibility for project demands.
- Field and office work environment must be comfortable in construction site conditions.
