Assistant Human Resources Manager
Mt Elgon Orchards is one of the oldest horticultural farms in Kenya. It was founded in 1920 by a Swedish Botanist, the grandfather of the current owner Bob Andersen. In the last 100 years the farm has grown many different products, but its currently engaged in the growing and export of top-quality Roses and Avocados to various parts of the world.The company employs an average of 1300-1500 employees compromised of permanent, seasonal and casual staff. Our employees enjoy the good working environment for this reason, we have the lowest employee turnover in years.Purpose of the JobEnsure day to day smooth HR operations and continuous availability of a competent workforce through enhancement of knowledge, skills, career development and performance-based reward systems. Assist in planning programs and processes designed to improve employee welfare as well as maintaining vital employee records. Compliance with the Law, company policies and procedures and the standards.Duties and ResponsibilityThe job holder’s duties and responsibilities are outlined as follows: Assist HRM in implementation of the HR strategy through implementing various HR Initiatives and keeping all stakeholders informed;Assist the HRM in delivery of end to end HR Services and standardize processes across the company;Ensure implementation of the recruitment procedure in a fair and credible manner as per the company policy and by conducting competency based interviews;Ensure the On-boarding and induction process within the company as per the company policies and procedures;Ensure all employees in the company have a valid contract of employment;Ensure that all employees within the company have a well-defined and relevant Job Description and when transferred from one job to another, they are issued with the Job Description for the new job or position;Attend to disputes, grievances, Internal Complaints and concerns from the Committees in the company;Oversee that all disciplinary cases are handled properly, in accordance with the Law and in a timely manner;Ensure that employees undergoing disciplinary procedure shall be handled in a dignified manner and served with all documentation as guided by the Law and company set procedure up to the end;Conducting Exit interviews, coordinating the employee’s exit from the company and tracking status of full & final settlement of final dues;Ensure maintenance of accurate and proper human resource record management pertaining to and not limited to employee’s Personnel Files, Attendance data, Leave data, Salary payments, disciplinary action and procedure, contract of employment among others while ensuring easy retrieval;.Implement PIP (Performance Improvement Plan) for employees on extension of probation during the year and for all the employees not meeting the set performance target and expectations;Ensure compliance with all the statutory and HR audits including but not limited MPS, Global Gap, Rainforest, ETI, KFC, among others in the industry and workplace audits.Assist the HRM in influencing change management to ensure internal HR transformation;Oversee the employee time attendance and inform the HRM on employees reporting to work late and those that leave work before time;Support the HRM in ensuring compliance of all company set procedure and systems including proper documentations;Assist the HRM in tracking and control overtime and report to the HRM on the departments and the number of overtime hours;Train the employees on the Human Resource Policies and Procedures;Discuss with the HRM all maters HR including recruitment and staffing, labor and employee relations, compensation, and benefits Administration, performance management, welfare programs among others;Managing disciplinary procedure as guided by the Law while ensuring that staff separation processes is conducted in a fair and dignified manner and within the set time limit;Ensure compliance with all the Kenya Laws including but not limited to Constitutions of Kenya, Labour Laws, ILO Laws, Data protection Act;Assist HRM in enforcing compliance of all the company policies and procedures in the company;Assist the HRM in Coordinating HR program evaluation, organizational assessments, and human Resources surveys through preparation of HR reports;Liaise with the HRM in conducting training needs analysis for all departments and analyze departmental training;Support in the implementation of HR Management Information Systems that will provide current information to management through centralized personnel records employee including CV databases and job applicant tracking system;Oversee the registration and monthly filling of staff statutory returns to KRA, NSSF, NHIF, NITA, monthly and annual labour report for the labour office and NEA among others is done in a timely manner;Enforcing statutory compliance including any changes in legislation affecting PAYE, NSSF, NHIF, NITA etc;Oversee statutory compliance on the casuals musteroll and ensure that the casual employees are paid in time;Work in liaison with the EHS team to ensure occupational safety and health is enhanced and that the company is compliant as per the Law;Ensure high level of confidentiality of all HR information that you are privileged to have access to.
