We are a growing property management company specializing in managing single-family homes. We currently operate in Omaha and Lincoln, with plans to expand into Iowa. As we continue to grow, we are seeking a detail-oriented and proactive Administrative Maintenance Coordinator to help streamline our maintenance operations and ensure top-quality service for our tenants and property owners.
Position Overview
The Administrative Maintenance Coordinator will be responsible for managing and coordinating maintenance requests efficiently. This role involves troubleshooting with tenants, scheduling maintenance technicians, ensuring proper documentation in AppFolio, and communicating with property owners. The ideal candidate will have a strong mix of organizational and communication skills including office and computer proficiency to keep operations running smoothly. Having basic maintenance knowledge is a bonus, however we are willing to train a motivated, organized candidate about maintenance and how to troubleshoot effectively.
Key Responsibilities
- Receive, analyze, and prioritize maintenance work orders submitted by tenants.
- Troubleshoot maintenance issues with tenants via phone and text to determine if a technician is required.
- Schedule and coordinate maintenance technicians, setting clear goals and time caps for each job.
- Provide technicians with directions to ensure efficient repairs.
- Schedule, direct and coordinate third party vendors.
- Ensure all maintenance activities and work orders are accurately documented in AppFolio.
- Communicate with property owners to obtain approval for necessary repairs.
- Oversee work orders and ensure no tasks fall through the cracks.
- Make cost-effective, business-smart decisions regarding repair solutions.
- Maintain organization and efficiency in a fast-paced environment.
Qualifications & Skills
- Basic maintenance knowledge (or willingness to learn) to assess repair needs effectively.
- Strong computer proficiency
- Familiarity with property management software (particularly AppFolio) is a plus
- Excellent organizational and multitasking skills.
- Ability to problem-solve and make quick, informed decisions.
- Strong communication skills for tenant troubleshooting and owner approvals.
- Experience in property management or maintenance coordination .
