Administrative Assistant IV

Position Overview
We are seeking a highly experienced Executive Administrative Assistant to provide high-level administrative and operational support within a fast-paced corporate environment. This role requires a polished professional with exceptional organizational skills, executive presence, and the ability to manage sensitive and confidential information while supporting senior leadership and executive operations.
Key Responsibilities
- Coordinate conference room scheduling, executive meetings, and floor activities.
- Manage visitor access, visitor management systems, and adherence to security protocols.
- Provide administrative support to senior executives and executive assistants as needed.
- Maintain executive office areas, meeting spaces, and related facilities.
- Coordinate catering, logistics, and support for executive meetings, events, and leadership functions.
- Manage distribution lists, communications, mail handling, and administrative requests.
- Submit and track maintenance and facility-related requests.
- Assist with executive-level event planning and execution.
- Support emergency preparedness initiatives and building safety procedures.
- Provide basic troubleshooting assistance for conference room technology and AV equipment.
- Coordinate with vendors for catering, maintenance, and special events.
- Perform additional administrative duties as required to support business operations.
Required Qualifications
- Minimum 8–10 years of executive-level administrative or receptionist experience.
- Experience supporting C-Suite executives within a large corporate environment.
- Strong knowledge of executive office operations and corporate protocols.
- Exceptional organizational, multitasking, and prioritization skills.
- Excellent verbal and written communication abilities.
- Advanced proficiency with Microsoft Office Suite.
- Experience with visitor management systems and administrative technologies.
- Ability to handle confidential and sensitive information with discretion.
- Professional executive presence, demeanor, and appearance.
Preferred Qualifications
- Experience supporting senior leadership within a large, complex organization.
- Familiarity with AI productivity tools, including Microsoft Copilot or similar technologies.
- Strong executive communication and stakeholder management skills.
- Leadership mindset with a willingness to drive process improvements and digital adoption.
