LOD Staffing has openings for Construction Administrative Assistant
Location: San Antonio TX
Work Schedule: Monday – Friday / Some weekends / 6:30am – 3:30pm
Rate of Pay: $20-$27/hr Depending on Experience
Position Summary
The Construction Administrative Assistant provides clerical and administrative support to project managers, superintendents, and office staff to ensure the efficient operation of construction projects. This role is responsible for maintaining organized records, coordinating communication, and assisting with the day-to-day administrative needs of the construction team.
Essential Duties and Responsibilities
- Provide administrative support for construction projects, including filing, data entry, scheduling, and correspondence.
- Assist in preparing and processing contracts, submittals, RFIs (Requests for Information), change orders, and purchase orders.
- Maintain project documentation, logs, and records in both paper and electronic formats.
- Support project managers with bid preparation, proposals, and reports.
- Track and process invoices, payments, and expense reports.
- Answer phones, direct calls, and provide customer service to clients, vendors, and subcontractors.
- Schedule and coordinate project meetings, prepare agendas, and record/distribute meeting minutes.
- Monitor and update project schedules and assist in maintaining timelines.
- Assist with permit applications, compliance documentation, and safety recordkeeping.
- Perform general office tasks such as ordering supplies, handling mail, and maintaining office organization.
Minimum Qualifications
- 1–3 years of administrative or office experience; prior experience in the construction industry strongly .
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with construction/project management software (Procore, Buildertrend, Bluebeam, or similar) a plus.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- High level of attention to detail and accuracy in recordkeeping.
- Ability to maintain confidentiality and professionalism at all times.
- Strong customer service and interpersonal skills.
Working Environment
- Work primarily performed in an office setting with occasional visits to construction sites.
- May be exposed to noise, dust, and weather conditions during site visits.
- Standard schedule is Monday–Friday, but occasional overtime may be required based on project needs.
Physical Requirements
- Ability to sit at a desk and work on a computer for extended periods.
- Ability to lift and carry up to 20 pounds of files, office supplies, or equipment.
- Manual dexterity to operate office equipment including computers, phones, copiers, and scanners.
- Ability to walk, stand, climb stairs, and navigate uneven surfaces during site visits.
- Adequate vision, hearing, and speech to communicate effectively.

- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong attention to detail and accuracy in handling documents and data.
- Ability to adapt quickly to changing project requirements and priorities.
- Effective problem-solving and decision-making skills.
- Professional communication and interpersonal skills to interact with staff, contractors, and clients.
- Ability to work independently and as part of a team.
