Job Description
Administrative Assistant
Join our Chemical and Biological Engineering department as an Administrative Assistant, where you'll play a vital role managing operations, finances, and the graduate program for about 60 students. You'll have the opportunity to supervise student employees, support faculty, and connect with staff and administration to keep the department running smoothly. What you'll do in this position:
1. Manage Department Financials
Support budget planning, reconciliation, and reporting in coordination with the department chair and business manager.
Oversee department funds including endowments, scholarships, and wage budgets.
Submit stipend contracts, tuition payments, and track expenditures for graduate and undergraduate employees.
2. Oversee Graduate Program Administration
Track graduate student progress from admission through graduation; ensure compliance with university policies.
Manage graduate admissions, stipends, tuition, evaluations, and faculty advisor assignments.
Coordinate graduate events and support international student compliance and communication.
3. Support Department Operations
Plan and manage department events, faculty evaluations, and hiring paperwork.
Supervise part-time student employees and coordinate TA assignments.
Maintain departmental records, meeting materials, and assist with faculty and staff searches.
What qualifies you for this role:
Required
A firm commitment to the mission of BYU
High School diploma with 3 - 5 years office experience
Associate's or Bachelor's degree
Work experience in a post-high school educational institution
