Gardner-Webb University is currently seeking to fill the role of Academic Records Specialist located in the Registrar's Office.
Position Summary: The Academic Records Specialist is responsible for the timely and accurate processing of student records and requests related to academic information.
Essential Functions:
- Interact on a regular basis with current students, former students and faculty providing exceptional customer service by answering questions and providing academic policy information; serve as the primary point-of-contact for the office.
- Respond to daily requests for information and manage incoming communication queue including, but not limited to, general office email accounts, phones, etc.
- Process requests for transcripts, verifications of enrollment, and related correspondence.
- Process manual transactions including but not limited to registration updates, change of grades, change of address, etc.
- Interacts with other university offices as necessary to provide quality customer service and referrals.
- Evaluate and enter transfer credit from external sources and coordinates information with prospective students, admissions and advising offices.
- Communicate and respond to requests to update or remove existing outdated transfer equivalencies and act as liaison between faculty/department chairs when coursework requires their evaluation.
- Maintain accuracy of student records/data in accordance with all regulatory requirements and University policies.
- As part of the Registrar’s team, maintains and ensures integrity of academic records related to grades, transcripts, audits, and other academic issues.
- Develops and maintains quality control standards to continuously improve office functionality
- Maintain compliance with FERPA, federal and North Carolina regulations and university policies.
Secondary Functions:
- Assist with Commencement preparations.
- Ensure a work environment that promotes mutual collaboration and continuous learning and the development of all members.
- Produce documentation of business practices and maintains departmental policy/procedure manual,
- Assist office team members in the completion of a variety of tasks during busy times or peak periods.
- Scans all registration related documents into the document imaging system.
- Monitor and order office supplies.
- Assist with degree audits and communication with students and advisors
- Other duties and special projects as assigned.
Skills and Qualifications:
- Two years of college and experience working in an office environment
- Excellent customer service skills.
- Ability to uphold the confidentiality of personal and sensitive information
- Strong verbal and written communication skills, problem-solving skills, multi-tasking, attention to detail and accuracy are a must
- Proficiency in MS Office applications required
