The Project and Systems Manager plays a critical role in aligning cross-functional efforts, ensuring efficient project execution, and maintaining operational excellence across the organization. This position is responsible for leading project planning and implementation activities, managing internal resources, and ensuring that project deliverables are completed on time, within scope, and to the highest standard. The role also includes direct oversight of the company intranet, contributing to operational consistency and communication efficiency.


The ideal candidate will serve as a key liaison between staff, vendors, and stakeholders, adeptly navigating competing priorities, facilitating collaboration, and overseeing documentation flow across multiple initiatives. They will design and implement risk mitigation strategies, provide detailed project reports to executive leadership, and adapt work plans based on evolving business needs. This role demands strong leadership, attention to detail, and the ability to manage both people and systems with a strategic mindset.

Requirements:

Duties/Responsibilities:

  • Participate in strategic and tactical project planning sessions.
  • Manage and maintain the company intranet to ensure content is current, accessible, and aligned with organizational needs.
  • Coordinate internal staff and resources to align with project goals and deadlines.
  • Oversee and track progress across multiple projects, adapting timelines and workflows as needed.
  • Ensure all projects meet established deadlines and deliverables.
  • Facilitate strong working relationships with staff, vendors, and other external stakeholders.
  • Oversee all incoming and outgoing project documentation to ensure accuracy, consistency, and proper archiving.
  • Manage the contract lifecycle, including drafting, reviewing, organizing, tracking, and ensuring compliance with key terms and timelines.
  • Design and implement risk mitigation strategies for potential project roadblocks or delays.
  • Conduct post-project reviews to assess outcomes and areas for improvement.
  • Develop and present detailed status updates and project reports to executive leadership.

Required Skills/Abilities:

  • The project manager will have to face many unforeseen scenarios and challenges to meet the desired goals and objectives. They should be proficient enough to come up with the desired solutions in a timely manner.
  • Proficiency in project management software (e.g., Monday), productivity tools (Microsoft 365,), and familiarity with EHR systems .
  • In the healthcare industry, they will have to handle many executive departments, and they will have to converse effectively and clearly with all.
  • Ability to multi-task and manage various project elements simultaneously.
  • Flexibility is one of the essential skills to consider. No matter how well-planned a project is, there will be issues, and they will have to be flexible enough to deal with those issues.

Education and Experience:

  • Bachelor’s degree in core domains like business administration, public health administration, health management, nursing, or health administration.
  • Formal project management certification.
  • Knowledge of relevant healthcare regulations (HIPAA,) is highly desirable.
  • One to three years’ related industry experience.

Additional Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

  • You are responsible for maintaining the confidentiality of all Ally and customer data to which you are granted access. Any suspected compromises of Ally proprietary data or customer data must be reported to Management immediately.
  • You will adhere to the Company’s Information Security Policy and Procedures and support standard operating procedures to protect Company systems and data.
  • You will alert management immediately with any expected system or data compromises and/or system failure impacting the security, confidentiality, availability, and integrity of Ally Medical and customer data.
  • You will be required to attend annual Information Security Awareness Training.
