About the Role:
Were looking for a Operations Dispatch/Scheduling Coordinator to lead the nerve center of our daily field operations. This role is the glue between our clients, field crews, and project management teamhandling everything from incoming job requests to real-time crew adjustments. Key Responsibilities:
Client Communication & Intake
- Be the first point of contact for client calls, texts, and emails about job requests, changes, or updates
- Gather all relevant job information (location, scope, timing, access, equipment, contacts, etc.)
- Log and track job requests using scheduling software
- Communicate job setup daily with Project Managers for planning and prioritization
Job Planning & Assignment
- Assign operators based on skillsets, certifications, client familiarity, workload balance, and performance
- Maintain real-time, and shared job schedule
- Alert Project Managers to any scheduling gaps, conflicts, or upcoming equipment needs
Scheduling & Logistics
- Build efficient daily/weekly schedules by geography and crew availability
- Coordinate with the Project Managers on operator prep, saws, trucks, and material needs
- Confirm site access, client readiness, and operator availability a day in advance
- Distribute the finalized schedule to operators the evening before
Real-Time Operations Management
- Monitor crew check-ins and manage issues like delays, no-shows, or onsite problems
- Rework schedules quickly when jobs change unexpectedly
- Keep the Project Managers in the loop on daily field conditions, incomplete scopes, or client concerns
- Relay the Need to Review Jobs to the Project Manager as a standing operational priority
- The role also encompasses regular responsibilities related to data management coordination, and customer service.
What Youll Need:
- Dispatching, scheduling, or coordination experience (construction/field service is a plus)
- Strong communication and multitasking skills
- Ability to think critically and act quickly in a fast-moving environment
- Familiarity with scheduling software and digital communication tools
- A no-nonsense approach to getting work done, with the patience to deal with curveballs
