We are seeking a Customer Service Specialist (CSS) who is customer-focused, empathetic, and solutions-oriented. The CSS will serve as a key liaison between our customers and internal teams—providing product and service information, resolving issues with accuracy and professionalism, and ensuring a seamless customer experience. The ideal candidate is patient, clear in communication, and proactive in problem-solving. Whether working with end users or dealer partners, the CSS will advocate for our customers and help maintain TBS Dental’s reputation for excellence and service.
Objectives
- Deliver Exceptional Customer Experience: Provide prompt, professional, and empathetic support to customers and dealer partners, ensuring a seamless and positive experience at every touchpoint.
- Resolve Issues Efficiently: Troubleshoot and resolve customer inquiries, complaints, and service/warranty issues accurately and efficiently, escalating complex matters to your manager when necessary.
- Maintain Product Knowledge: Develop and maintain in-depth knowledge of TBS Dental's products and services to effectively assist customers and communicate value.
- Accurate Order Management: Ensure timely and error-free order processing with branches and free goods.
Responsibilities
- Manage and respond to incoming customer calls in a timely and professional manner
- Process free goods requests accurately and in accordance with company policies
- Identify and assess customer needs to deliver effective solutions and ensure satisfaction
- Build strong, lasting relationships with customers through clear and interactive communication
- Provide accurate, complete, and timely information using appropriate tools and resources
- Generate and maintain reports using Microsoft Excel to support internal operations
- Handle customer complaints with empathy and efficiency; provide timely resolutions and follow up to ensure satisfaction
- Log calls, maintain detailed records of customer interactions, update customer accounts, and manage related documentation in company’s ERP i.e. NetSuite
- Go the extra mile to engage and support customers, ensuring an exceptional customer experience
- Develop and maintain deep product knowledge to better assist customers and anticipate their needs
Skills
- Proven experience in customer support or as a client service representative
- Demonstrated track record of exceeding performance targets and service goals
- Excellent phone communication skills with strong active listening abilities
- Proficient in Microsoft Word and Excel; comfortable navigating various computer systems
- Strong customer with the ability to adapt communication style to diverse personalities
- Exceptional verbal and written communication skills, including presentation capabilities
- Ability to multitask, prioritize responsibilities, and manage time efficiently in a fast-paced environment

Education: High school or equivalent (Required)
Experience:
- Customer Care experience: At least 5 years
- Dental office or dental assisting experience is a plus
