Role synopsis
  • Manage the daily tasks related to HR transactional activities for multiple countries in the area of Resourcing: Offer Letter and Contract management, vetting pre-employment check coordination and onboarding to HR systems.
  • Activities involve entering and processing data in resourcing systems, SAP HR, creating legal documentation and completing service request templates and ensuring high levels of data accuracy.
  • Focus on high level of customer service and satisfaction while establishing good and clear working relationships with key business contacts to deliver an efficient and accurate service.

Key accountabilities
  • Understand the relevant procedures and processes for the Businesses, as well as the internal GBS Europe processes.
  • Process and record resourcing related events for external hires and internal transfers as well as data management updates in SAP. This includes the creation and posting of offer letters and contracts, coordinating the vetting process and SAP HR onboarding.
  • Show levels of expertise in the specific functional area.
  • Work in line with the Service Level agreements defined. Adhere to all request management requirements in Siebel.
  • Provide first line support to in-country HR / Recruitment as and when required (offer letter and contract documentation issues, SAP queries, etc.).
  • Respond to inbound queries from customers.
  • Work in line with the global OM data standards and coordinate Organization Management (OM) updates with OM.
  • Notify or escalate to Tier 3 or manager when required.
  • Provide root cause analysis in case of escalations.
  • Create ad-hoc reports when required.
  • Maintain and adhere to process maps and standard data input forms ensuring the Standard Operating Procedures are updated and maintained on the relevant site (tbc).
  • Identify process improvement opportunities and participate in CI initiatives.
  • Contribute to the SOX compliance of HR processes (HUM415) and support the annual audit (tbc).
  • Adhere to the BP and GBS HSSE rules.

Essential Education
  • Relevant degree
  • Fluency in English

Essential experience and job requirements
  • Experience in delivering HR administration and providing HR support to business customers in a client focused environment
  • Experience of working with varied HR teams and dealing with individuals from different countries and cultures
  • Experienced SAP HR transactional user (PA, OM, Compensation)
  • Understanding of HR and payroll systems and the importance of data integrity
  • Experience in using ticket management systems
  • Working knowledge of HR lifecycle processes
  • Minimum of 1 year of relevant previous experience
  • Must demonstrate a strong understanding of customers' needs / behaviours
  • Excellent written/oral communication skills and ability to build effective working relationships
  • High degree of attention to detail and able to consistently deliver error free administrative activities
  • Ability to effectively prioritize and execute tasks with a very high degree of accuracy
  • Actively seeks clarification and support in areas of uncertainty
  • Good IT skills with proven expertise in Microsoft Office, SAP experience essential
  • Highly motivated

  • Requirement to work some public holidays
  • Availability to work outside of standard business hours during peak period.
  • Minor travel required
