Senior expediter job description
The main function of the expediter is to ensure that project equipment and materials are delivered to the contractually agreed point of delivery on-time or ahead of the contractually agreed delivery date and to ensure supplier documentation and drawings are submitted on time.
The expediter will provide the principal point of contact for the project team during the post order placement phase until final delivery of the equipment and documentation.
The expediter will have contact with, as a minimum and not limited to suppliers, Purchasing, the project management team, engineers, Engineering Data Control, Inspection, Shipping, the other expediters and the Expediting Supervisor;
To work and perform under pressure and be able to control the progress of high value and schedule critical equipment and materials. They will be required to expedite compressor packages, vessels, switchgear, motors, instrumentation, valves, pipe and fittings amongst other equipment. They will be expected to expedite upwards of 60 purchase orders at any one time depending on the commodity and complexity.
To expedite efficiently and effectively without constant supervision ensuring that equipment and documentation are delivered on time to meet the contractually agreed delivery dates or, as sometimes is the case, to achieve an earlier delivery date to satisfy needs.
To highlight to the Project management team and Procurement any actual or potential problems which would adversely affect delivery of equipment and/or drawing and data submittal dates.
To identify field expediting requirements to the supervisor and when field expediting is undertaken to ensure the field expediter is provided with the necessary background information and data to enable the field expediting to be carried out effectively. On occasions the expediter may also be required to undertake field expediting activities.
To advise the Project Manager or engineer of any need to expedite the internal review and approval of critical supplier's drawings and data by engineers.
To ensure the continuous and accurate up-dating of the SAP Progress Tracking Module and the electronic filing system.
To ensure the Inspection coordinator is provided with timely notification of all relevant inspections, whether intermediate or final in accordance with the supplier's manufacturing schedules and agreed ITP's.
To keep sufficient records of order progress, supplier performance and associated delays etc. to provide the Purchasing department and Project Management team with recommendations for Liquidated Damages claims and/or back charges.
To ensure Shipping are provided with the correct project information, packing lists, contact details, collection and delivery addresses; to ensure timely despatch and receipt of the equipment at the agreed point of delivery.
Qualifications and job related capabilities
Previous office and field expediting experience is essential. Preferably in the Oil and Gas and related industries. Knowledge of the supplier documentation submittal and review process is also required.
The expediter will be self-motivated, able to work unsupervised and under pressure.
Have excellent computer skills, have an aptitude for working quickly and accurately under pressure and possess the ability to communicate clearly and concisely in writing and verbally to a wide range of individuals and at all levels.
A working knowledge of SAP and/or experience in working with a PMIS database would be an advantage.
