Job Profile and Description

Provide administrative support to the Project Leaders and to the Engineering and Commissioning Department. Duties include but are not limited to general clerical, receptionist and project based work. Convey a professional company image through services delivered and receptionist tasks.

Duties and Responsibilities

  • Answer calls and transfer to appropriate staff member
  • Maintain and distribute staff weekly schedule
  • Administer and organize project filing (hard copy as well as electronic system)
  • Set-up, coordinate and administer meetings and conferences
  • Perform general clerical duties including but not limited to photocopying,
  • faxing, mailing, filing and typing
  • Create and modify documents using Microsoft Office, Power Point
  • Support staff in assigned project based work
  • Other duties as assigned

  • Back up for the receptionist

Skills and specifications

  • Excellent reading, writing and communication skills
  • Proven experience in complex administration and office organization with
  • excellent reading, writing and communication skills
  • Enjoys working with all levels of employees incl. project management
  • Profound knowledge of Microsoft office tools
  • Experience in an assistant role in start-up organizations
  • Language skills: English or German as mother tongue with professional knowledge of the other language
  • Proficiency in French and Italian would be preferable additional skill
  • Interested in working in a lively environment

Education and Qualifications

  • Professional degree preferable in office management
  • Pro-active self-starter with hands-on approach
  • Smart out-of-the-box thinker
  • 1-3 years of working experience, ideally in international companies
  • Be prepared to work on site- and the construction-environment / facility
