Provide professional secretarial, administrative and organizational support directly to the General Manager Sales & Marketing, Finance Director and HR Director exercising confidentiality, tact and diplomacy. Provide general support to the HR team in Germany. Support German Management Team in internal communication.


• Manage/schedule internal and external meetings and conferences, nationally and internationally and take care of the supporting/social program

• Plan and organize company events, roadshows and presentations

• Agenda management

• Organize seminars webcasts and e-webinars

• Arrange complex travel and accommodation bookings

• Central contact person for employees, works council members and business partners as interface to Management, HR and Finance

• Act as contact person for other sites in Germany as well as for the European HQ

• Manage the German Intranet in co-operation with Marketing and content owners

• Correspondence in German and in English as well as translations

• Support projects, presentations and reporting

• Participates in the development and implementation of secretarial standards, policies and practices for the organization

Provide administrative support to the HR team in Germany:

• Preparation of organizational reviews

• Support general HR projects

• Preparation of employment contracts and contractual changes

• Administer and control certificates of disabilities

• Coordinate internal and external trainings

• Coordinate interviews and manage applications

• General office work, filing

• Support new hire process

• Update of Job Descriptions, vacancy postings and write announcements

• General correspondence for employee relations


• Relevant professional training, combined with a minimum of 2-3 years of work experience in an Executive Assistant role essential

• Relevant professional experience in HR work

• Proficiency in German and (Business-)English, in speaking and writing on an elaborated level

• Proven organization skills and excellent multi-tasking abilities

• Excellent computer skills, e.g. Outlook, Excel, Power Point, Word

• References revealing a high level of integrity and discretion in handling confidential information
