Support the General Manager and the leadership team's agenda on a day to day basis including managing of the nontechnical services and administrative processes of the site.
  • Assist the General Manager in the effective implementation of the company's Business Controls Framework. This requires strict adherence to company policies, standards, guidelines and systems procedures.
  • To be actively involved in Refinery initiatives/programs and its implementation. This may be on site visits of Shell Global Leaders, General Manager's Meeting, Site Audits, VP Visits, HSSE Gathering of Staff and Contractors or corporate events like Shell Family Day, Annual Christmas Party, Anniversary Celebration, Medical Mission and activities that promote environmental protection.
  • Manage Service contracts (e.g., non RE scope) and ensure that they conform to agreed standards, practices, procedures and guidelines as contained in the agreement. Manage contract scope changes, risk, business objectives, staff, contract documentation, variations and control expenditure.
  • Accountable for the smooth logistics arrangements for Refinery Leadership Team visitors (transport, venue reservations, food preparation, equipment, request for PPE and resourcing of materials required).
  • Coordinate with the Chief Security regarding Refinery Manger's security in the Refinery and during out-of-town engagements.
  • Manager, prioritize, schedule and monitor General Manager's calendar to ensure all internal and 3rd party meetings and engagements are scheduled appropriately and timely.
  • Administrative assistance to Refinery Manager and direct reports
  • GSAP service acceptance, purchase requisition and service entry creation for Admin related matters
  • Validate/Monitor GCC expenses of Refinery Manager. Ensure timely submission of documents to controllers.
  • Pro-actively monitor and schedule all Refinery Manager trips and monitor travel costs
  • Administer meetings of Refinery Leadership Team
  • Coordinate with CCT Admin Assistants on the schedule of CCT Meetings, Board Meetings, Board Meeting Dry-runs and other corporate events requiring Refinery Manager's presence.
  • Monitor Annual Physical Examination, Shelter Training, H2S training refresher or other trainings/workshops needed by Refinery Manager.
  • Actively participate in the Admin Safety Sub-committee and Canteen Sub-committee.
  • Ensure that office canteen and Taclobo Clubhouse is conforming to agreed standards, practices, procedures and guidelines as contained in the agreement, in coordination with Service provider and Clinic.
  • Acts as the government intermediary for administrative/facilities permits of the site.
  • Manage and monitor GM Site Management budget.
  • Facilitates payment requirements of the site on non technical and administrative items.

Work Location:

  • College graduate and computer literacy
  • At least 5-10 years of experience in the same field
  • Knowledgeable and experience in GSAP and Contracts & Procurement processes including contract holder experience
  • Strong experience in an administrative leadership role, supporting a team.
  • Demonstrate strong business awareness and commercial acumen
  • Open supportive personality and effective communication skills
  • Awareness with regards to conducting business in accordance with Shell's Statement of General Business Principles
In view of the localization content of the City of Batangas, first priority will be given to Batangas residence following the concentric circle model.
