The purpose of the Administrative Assistant position is to perform a range of administrative services and work in collaboration with members of the HR team under the direction of the office HR Lead.
• Maintaining and streamlining the department's administrative HR processes, and maintains the digital and physical employee files accurately and in a timely matter.
• Prepare letters, memos, routine reports, and other correspondence and documents.
• Acts as a point of contact for the HR department in answering and/or directing inquiries through phone, email and in person whilst ensuring a high quality, service driven mindset in employee interactions.
• Ensures clear communication and prompt resolution of queries.
• Assists in the preparation of ad hoc statistical summaries, standard reports and spreadsheets from HRIS and other data sources, as directed.
• Assists in the coordination and facilitation of HR information sessions, lunch and learns, and other HR events.
• Assist with the organization and facilitation of meetings and employee events (e.g. employee lunch and learns, assignment mobilization paperwork, etc.).
• Organize and prioritize multiple tasks in an effective and timely manner.
• Plan and organize own work assignments.
• Other duties as assigned.

*This is a contract position to start with the possibility of a contract extension, or movement into a full-time opportunity.

Basic Job Requirements:
• A combination of education and directly related experience equal to three (2) years
• Demonstrated ability to be highly organized and detail oriented
• Demonstrated ability to prioritize tasks in a high volume work environment
• Demonstrated ability to apply discretion in dealing with personal and confidential information
• Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors.
• Ability to quickly learn job related technical knowledge necessary to complete the job.
• Exhibit strong team-orientation and a willingness to take on additional responsibilities.
• Intermediate computer and software skills to include the use of spreadsheets, word processing, email, and electronic presentations.
• Ability to work independently and pro-actively make recommendations and suggestions for improvements and efficiencies.

Preferred Qualifications:
• 1 to 2 years of experience in a administrative assistant position;
