Overview of Position:
 
This position will be responsible for the daily administrative support of the San Ramon based Procurement/Supply Chain Management General Manager and employees.  It also provides back-up support to other Corporate Procurement/SCM administrative staff.  The successful candidate must be flexible, self-motivated, a quick learner who anticipates needs, can work independently, demonstrates the ability to multitask and produce high quality, error-free work.
 
Responsibilities for this position may include, but are not limited to:
 
  • Schedules and manages General Manager's calendar for meetings and travel.
  • Coordinates meeting logistics - room reservations, catering, conference call/video conference coordination, visitor badges, wireless guest access and pre-read materials as needed.
  • Coordinates Domestic and International travel arrangements for assigned Managers.
  • Assists with on-boarding and off-boarding process for employees and contractors including office moves, computer equipment, etc.
  • Assist staff with procurement of office supplies, business cards, cell phones, etc.
  • Manages Purchasing Card including timely reconciliation of monthly charges.
  • Setup and maintenance of email distribution and contact lists.
  • Supports staff by providing prompt and accurate creation and editing of PowerPoint and Word documents. May provide reporting for RSI risk, budget, etc.
  • Works independently within defined key job responsibilities; identifies needs and proceeds on routine, well-defined tasks with minimal or no supervision.
 
Required Qualifications:
  • High School Diploma or equivalent
  • 4+ years of administrative assistant or related experience
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Must be self-motivated, learns quickly, anticipates needs, works independently and has demonstrated ability to multi-task.
  • Must be flexible, and be accustomed to ever-changing priorities and tasks.  Ability to handle last-minute changes quickly.
  • Have strong interpersonal skills and must be able to work effectively with a diverse group of people, possess strong skills in areas of teamwork and communication, and organization.
  • Ability to build rapport and establish positive working relationships.
 
Preferred Qualifications:
 
  • Experience working within Chevron is highly desirable.
