Role synopsis
The Learning Operations within HR Services provides the logistical and operations support for training events. It covers all aspects of the administration and 'silent' end-to-end delivery of the training events and sessions for BP.

The LSC Accounts Executive is responsible for the day to day administration of the processes delivered by the LSC Finance Service line. The Accounts Executive will ensure that work is performed to the required standards and within agreed timeframes. They will need to establish positive and collaborative relationships with the LSC Logistics team who manage the relationship with IP and who contract in the goods and services whose costs the Commercial Services team track and report upon.

Key accountabilities
• Responsible for the provision of high quality finance administrative support for a portfolio of BP academies & functional learning teams. Ensuring that all activities in the finance lifecycle are performed to a high standard and within agreed timelines, including; accruals, processing actuals, coding, tracking and financial reporting.

• Accountable for assuring the absolute integrity of the financial data held on system in support of financial & budgetary activity over a defined set of BP academies & functional learning teams. Implementation and maintenance of appropriate systems and processes in support.

• Responsible for delivering high standard of service to stakeholders, third party vendors and finance leads and managers. Responding to ad hoc requests for information and updates from stakeholders, vendors and colleagues. Day to day problem solving and the escalation and flagging of issues as required to manager.

• Responsible for the day to day management of the tuition/recharge model ensuring that sessions spend is fully reconciled and that recharges are processed accurately and promptly.

• Responsible for conducting 'bought ledger' activity, ensuring that invoicing, expenses claims, third party vendor payments are approved and submitted promptly, ensuring that the charges are accurate and appropriate checks & sign offs are in place prior to payment. Recording actual spend in the workflow system as appropriate.

• Reconcile invoicing and orders and prepare chargeback documentation to required standards and within defined timescales. Complete 'standard' monthly and quarterly reporting as required, prepare and submit accruals and forecast promptly and as required.

• Day to day management of currency issues/conversations and associated reconciliations.

• Build and establish day to day relationships with colleagues in BP Finance & Indirect Procurement and external vendors, in support of compliance and good practice.
• Participation in relevant focused project work, contributing to the 'Continuous Improvement' of financial processes, tools and systems.

Essential Education
• Bachelor's Degree with 1+ years working experience in Finance and MS Excel.

Essential experience and job requirements
• 2+ years working experience with financial tools, systems and procedures, financial accounting concept and reporting, financial analysis, budgeting and charge-back practices, quality assurance and accuracy in gathering large amounts of data, problem identification and resolution.
• Assists in gathering data & producing reports and understanding of basic flow of information between company applications which underpins associated processes.
• 2+ years experience in providing excellent customer service, problem identification and resolution, proven ability to communicate effectively; speaks clearly and understandably using appropriate language, grammar and gestures.
• Monitors own progress against objectives, team-player, participate in continuous improvement in own work area.

Other Requirements (e.g. Travel, Location)
o The LSC Finance Service Line will launch during 2015 which will mean a higher than normal level of change to manage and respond to.
o The quality & outputs of the Finance team will help to guide decision making at BP Academy level and collectively at the highest levels of the organisation. A collaborative "One Team" approach, and very close attention to detail will be key to ensuring this delivers as we hope it will.
