Job Overview:

The Document Controls Supervisor 1 interacts directly with other project disciplines and the client. They are expected to coach and provide guidance to other, and assist in planning and scheduling individual activities.

Key Responsibilities/Accountabilities:
  • Manage individual training and/or development plan based on career goals
  • Perform Document Controls Supervisor 1 department reading assignments (all procedures)
  • Manage work packages for project records and distribution
  • Manage and prioritize work for Document Controls personnel on project
  • Establish access control levels for sensitive project documents
  • Establish Docbase groups
  • Interface with project team on any technical issues
  • Participate in weekly project meeting
  • Communicate to Regional Document Controls manager on project updates
  • Communicate process improvement ideas to the department
  • Provide guidance and supervision to assigned project Document Control personnel
  • Manage and maintain drawings and documents, engineering, vendor and subcontractors
  • Provide communication and customer service to internal (e.g. project disciplines, other departments) and external (e.g., subcontractors and clients) customers, as required
Basic Qualifications:
  • Ability to perform all duties related to managerial level position
  • Thorough knowledge of Document Controls organization and concepts
  • Basic understanding of Supervisor 1 training requirements
  • Ability to reference Supervisor 1 reading materials
  • Awareness of Supervisor 2 training requirements
  • Basic knowledge of Supervisor 1 reading assignments
  • Thorough knowledge of EDMS and tool utilities
  • Thorough knowledge of EDMS document types
  • Thorough knowledge to identify our company's business records
  • Ability to develop departmental guidelines
  • Thorough knowledge of reprographics equipment
  • Advanced knowledge of Microsoft office suite
  • Advanced knowledge of Adobe Acrobat
  • Thorough knowledge of records management
  • Thorough understanding of record attributes
  • Thorough knowledge of web-based technologies
  • Advanced ability to communicate effectively and professionally verbally and in writing
  • Advanced ability to train and mentor Document Controls staff on work processes and tools
  • Ability to delegate work to department resources
  • Advanced ability to apply critical thinking skills to Document Controls activities
  • Working knowledge of emerging technologies in record management
  • Ability to assess performance and progress of Document Controls staff
  • Advanced knowledge of HR and Accounting policies and procedures
  • Working knowledge of the application of our company's policies and procedures
  • Working knowledge of the Employee Performance Management (EPM) process
  • Working knowledge of technical writing
  • Ability to create and deliver effective presentations. Understanding of RIM department metrics
  • Understanding of our business cycles
  • Basic knowledge of Sarbanes-Oxley regulations or requirements relative to records management.
